About the role
The Administrative Assistant will be responsible for creating first impressions with customers, both internal and external, and handling all administration functions of front desk and office support to meet the company’s needs and demands. The individual must demonstrate a willingness to provide an excellent experience, seizing opportunities to create raving fans with every interaction.
Responsibilities
- Operate a multi-line phone system, answering all calls to ensure customers speak to a live person and are pleasantly greeted and transferred to the correct person in a timely and accurate manner.
- Maintain a professional, customer-focused first impression for all customers entering the division.
- Perform accurate and efficient keying of customer-related transactions.
- Handle timely and accurate administration functions supporting the needs of the company and customers, including:
- Invoicing, unbilled route reports, and processing RMA credits.
- Daily sales and purchase requisition vouchers.
- Receiving and transferring coil inventory support.
- Creating and documenting deposits.
- Managing ingoing and outgoing mail, FedEx, and UPS shipments.
- Storage and file maintenance of Bills of Lading.
- Scanning and file maintenance.
- Know, understand, and apply the company’s cash handling policy and CPU (customer pick-up) practices and procedures.
- Generate accurate and timely department reports weekly or monthly, as needed.
- Responsible for opening and closing the front office area for the day.
- Support payroll functions, as needed.
- Assist in organizing and executing company events.
- Perform other duties and special projects as assigned.
Qualifications
- Ability to handle a multi-line phone system.
- Ability to work within a team.
- Ability to meet deadlines and work in a fast-paced environment with interruptions while prioritizing duties.
- Three or more years of office/administration experience preferred.
- High school diploma or equivalent.
