Responsibilities
- Enters work sheets assigning task codes and prints/assigns them to mechanics.
- Posts parts to job sheets before closing out service tickets.
- Prepares, issues, and posts mechanics’ daily time sheets for the Lexington shop.
- Closes out job sheets and transfers parts when no labor is involved.
- Posts parts received from Supply Depot and vendors to inventory.
- Prints and reviews inventory quantities for re-ordering needed vendor supplies.
- Prints lists of equipment requiring shop repair or preventive maintenance service.
- Posts parts on purchase orders and agreements upon receipt (514F).
- Tracks preventive maintenance schedules (levels 1–4).
- Performs monthly close-outs and prepares outside agency reports for accounting.
- Prints and signs closed service tickets.
- Maintains a filing system for all historical records on equipment repaired by the shop.
- Receives/picks up parts from vendors, verifying proper quantity and quality.
- Ensures all purchases comply with state purchasing regulations.
- Receives parts into stock or assigns them to the proper job sheet.
- Issues stock or orders parts needed by mechanics or maintenance personnel.
- Maintains proper parts manuals/vendor catalogs and assists mechanics with ordering.
- Assists in maintaining inventory parts and supplies, including stocking and organizing the stock room.
- Assists with manual inventory records for maintenance road workers’ supplies (~820 repair parts and 350 miscellaneous parts).
- Creates requisitions for stock, repair, or emergency parts from DOT Supply Depot or outside vendors.
- Purchases supplies, parts, and tools with a credit card, adhering to all regulations.
- Maintains and verifies the accuracy of the monthly fuel report from the district office.
- Answers telephone and two-way radio to order parts, notify personnel of equipment readiness, or assist with roadway breakdowns.
- Works as necessary during inclement or hazardous weather, including overnight and/or 12-hour shifts.
Requirements
- High school diploma and six (6) months of directly related work experience; or an approved acceptable equivalence.
- Valid motor vehicle operator’s license.
Qualifications
- Ability to sit or stand at a desk for extended periods and work on a computer.
- Ability to work in an office, warehouse, or outdoor environment in all weather conditions.
- Must be able to lift up to 30 lbs.
- May be required to work outside of normal work hours, including overtime, nights, weekends, or during emergencies.
