About the role

The Staffing Coordinator creates the monthly CNA schedule and ensures each shift is staffed appropriately following local, state, and federal guidelines.

Responsibilities

  • Edit the current monthly schedule to account for time-off requests, new hires, and terminated employees.
  • Post the schedule for CNAs five days prior to the first day on the schedule as outlined by the Collective Bargaining Agreement.
  • Follow the holiday rotation and add new hires to ensure coverage for all shifts each holiday.
  • Coordinate with the Director of Nursing and Human Resources Director to request increased staffing levels when necessary.
  • Place daily assignment sheets in a glass case prior to shift start and update them as changes occur.
  • Complete Direct Care/Nursing Staff Hour Sheets for all direct care staff (RNs, LPNs, & CNAs) based on scheduled hours, post them visibly, and update them no later than the next day to reflect actual hours worked.
  • Find coverage for shifts due to call-offs and ensure shifts stay over until a replacement arrives in the event of tardiness.
  • Avoid overtime where possible; if unavoidable, seek volunteers from the prior shift or notify the nurse supervisor or DON to mandate.
  • Work as a floor CNA to cover a shift if all other efforts to find coverage are exhausted.
  • Maintain an up-to-date mandation log and notify CNAs as soon as possible if they must stay over due to call-offs.
  • Mark call-offs and tardiness on attendance sheets and notify Human Resources when employees fall below attendance standards set forth in the Collective Bargaining Agreement.
  • Notify the Director of Nursing of illnesses reported by CNAs daily to maintain up-to-date records on the Staff Infection Log.
  • Be on-call for CNAs and notify the facility of staffing changes during shifts to keep everyone updated on staffing concerns.
  • Post overtime hours and available shifts weekly, following seniority guidelines for overtime bidding as outlined in the Collective Bargaining Agreement.
  • Notify Human Resources of shift vacancies to post in-house for CNAs wanting to move to another shift.
  • Update the master schedule daily to reflect changes and maintain up-to-date scheduling records.
  • File prior day’s assignment sheets and direct care staffing hour sheets into binders.
  • Perform other duties as assigned.

Requirements

  • Current certification as a Certified Nursing Assistant in accordance with the laws of the State of Illinois.
  • Must be at least 18 years of age.
  • Long-term care experience preferred.
  • Current CPR certification required.
  • Ability to read, write, speak, and understand the English language.
  • Scheduling experience in a long-term care setting preferred.
  • Basic knowledge of Microsoft Excel, Word, and Outlook.
  • Ability to multi-task, think quickly, and solve problems to address staffing needs as they arise.

Physical Demands

  • Required to sit, stand, bend, and walk regularly.
  • Lift and/or move up to 100 pounds.
  • Visual and auditory ability sufficient for written and verbal communication.
  • The noise level in the work environment is usually moderate.
