Sr. Event Technology Project Coordinator
The Sr. Event Technology Project Coordinator is responsible for supporting and leading event technology and registration initiatives across a variety of event sizes and formats. The role ensures successful planning, execution, and delivery of attendee-facing platforms while maintaining strong client relationships, operational excellence, and adherence to project timelines and budgets.
Accountabilities
Lead customer service workstreams, including supporting helpdesk teams, creating resources, and acting as an escalation point for attendee-related issues.
Serve as a primary contact for clients, internal stakeholders, and vendors regarding event technology and registration activities.
Manage small to mid-sized event technology projects and support larger-scale programs through dedicated workstream ownership.
Oversee project schedules, deliverables, documentation, and execution plans across multiple concurrent events.
Translate business objectives into technical requirements, platform configurations, and operational processes.
Lead client meetings, platform demonstrations, and technology discussions while providing recommendations on user experience improvements.
Monitor project risks, develop mitigation strategies, and escalate critical issues when needed.
Support onsite event technology operations, including attendee check-in, badge pickup, session scanning, content management, and related services.
Maintain process documentation, contribute to internal training resources, and recommend improvements to workflows and tools.
Provide guidance and oversight to temporary onsite staff supporting event delivery.
Requirements
The ideal candidate brings experience managing technology-enabled projects, preferably within the events industry, with strong organizational abilities and confidence working with clients, vendors, and cross-functional teams.
This position requires a combination of technical understanding, project management skills, and the ability to deliver high-quality experiences under tight deadlines.
2-3+ years of experience in a relevant project coordination, event technology, registration, or digital experience role.
Experience supporting corporate events and familiarity with platforms such as RainFocus, Swoogo, Stova, Bizzabo, Cvent, Eventbase, or Airtable is preferred.
Proven ability to coordinate projects or events from initial planning through execution and completion.
Bachelor’s degree from a four-year institution preferred.
Strong project management, organizational, and analytical skills with the ability to manage multiple priorities simultaneously.
Excellent written and verbal communication skills with confidence presenting information to clients and stakeholders.
Able to work effectively in fast-paced, high-pressure environments while adapting to changing requirements.
Strong problem-solving skills and the ability to identify issues and implement practical solutions.
Comfortable learning new digital platforms, software applications, and event technology tools.
Able to work collaboratively with employees, vendors, and clients while maintaining professionalism and confidentiality.
Willingness to travel approximately 20% domestically and internationally, with a valid passport required.
