Responsibilities
- Manage the Managing / Executive Director’s calendar, travel logistics, and correspondence across both centers.
- Prepare briefing materials, meeting agendas, and follow-up notes for leadership meetings with donors, VC partners, university administrators, and Gener8tor.
- Clock scheduling for EIR campus visits and board/advisory meetings.
- Process purchase orders, expense reports, and reimbursements for both centers.
- Coin disbursements for UNT pitch and venture competitions.
- Track budget expenditures against approved line items and flag variances to the MD / ED.
- Liaise with RCoB financial services and the VP Research office on shared-cost allocations.
- Support logistics for pitch competitions, accelerator cohort events, EIR lectures, and Innovation Center programming.
- Manage room bookings, catering orders, A/V setup coordination, and attendee communications.
- Maintain event calendars for both centers and ensure there are no scheduling conflicts across shared resources.
- Maintain office supplies, equipment, and shared resources for both locations.
- Serve as the first point of contact for walk-in students, faculty visitors, and external guests at BLB 150.
- Manage incoming mail, phone lines, and general center email inboxes.
- Onboard new staff members by coordinating IT access, office setup, and HR paperwork.
- Maintain contact databases and mailing lists for students, alumni, donors, EIRs, and corporate partners across both centers.
- Draft routine correspondence, newsletters, and announcements.
- Support the marketing with content scheduling and distribution when needed.
Requirements
- Bachelor's degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
- Exceptional communication and interpersonal skills.
- Advanced written communication skills.
- Advanced Microsoft Office skills.
- Knowledge of accounting/budgeting procedures.
- Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
- Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
- Ability to conceptualize, plan and organize multiple programs and assignments effectively.
- Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
- Skill in developing and maintaining good working relationships.
- Knowledge of policies, practices, procedures and terminology of assigned function.
- Supervisory skills.
Preferred Qualifications
- Bachelor’s degree in Business Administration, Communications, or related field (or equivalent experience).
- Two years of administrative or office management experience, preferably in a university, nonprofit, or fast-paced program environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort with scheduling and collaboration tools (Teams, Zoom, shared calendars).
- Exceptional organizational skills and ability to manage competing priorities across two centers.
- Strong written and verbal communication skills; professional demeanor when representing the centers externally.
