About the role
The Senior Administrative Coordinator supports the Insights & Analytics Leadership team, providing administrative support to seven I&A sub-teams.
Responsibilities
- Submit procurement requirements: CDAs, SOWs, Requisitions, MSAs, and bid exceptions using REGNs Icertis system
- Track requisition approval status, assignment of Purchase Orders (POs), and invoice payments
- Partner with cross-functional stakeholders including Finance, Procurement, and Legal to align on requirements, resolve dependencies, and drive initiatives forward
- Maintain department budget and monthly spend, ensuring alignment with forecast and financial targets
- Support the month-end close process, including timely submission and reconciliation of monthly accruals
- Book internal and external meetings and trainings, including meeting invites, conference rooms, catering, directions, and security registration
- Coordinate vendor site visits, introductions, capabilities meetings, and evaluations
- Coordinate SurveyMonkey-type activities: detailing objectives and key questions, crafting and fielding surveys, and summarizing results, as needed
- Maintain master department calendar and non-Regeneron partner contact list
- Ensure materials are posted to SharePoint in a timely manner: final project reports, vendor contact info, requisition templates, capabilities presentations, and other materials, as needed
- Aid in on-boarding new employees and contractors using REGNs NEMO system; assist in preparing Welcome Announcements
- Process expense reports
- Consistently coordinate and communicate with Commercial staff regarding workload balance, facilities needs, and companywide activities
Requirements
- Bachelor's Degree from an accredited college or university or at least 5 years of relevant administrative experience
- Strong Microsoft Office skills (Outlook, Excel, Word, PowerPoint) including knowledge of SharePoint
- Detail-oriented, with the ability to manage multiple tasks and competing priorities effectively
- Experience supporting/coordinating people and projects among multiple locations, a plus
- Familiarity with contract management preferred (e.g. SOW, PO generation using a contract system like Icertis)
- Strong written and verbal communication skills
- Great teammate with the ability to work effectively with people at various locations and levels in the organization
