Senior Administrative Assistant
Mass General Brigham relies on a wide range of professionals to advance our mission as a not-for-profit supporting patient care, research, teaching, and community service. The MGB Division of Endocrinology, Diabetes, and Metabolism is seeking a Senior Administrative Assistant to support Dr. Camille E. Powe in roles as Research Director, Principal Investigator, and Co-Director of the Diabetes in Pregnancy Program.
About the role
This part-time (20 hrs/week) position provides critical administrative and project coordination support, including complex scheduling, meeting and communication management, grant-related activities, support for faculty and trainees, and coordination of division-wide research initiatives. As a key operational partner, the Senior Administrative Assistant will contribute to a collaborative research environment dedicated to advancing diabetes and pregnancy research while strengthening the Division’s research infrastructure and academic mission.
Responsibilities
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Prepare, review, and edit reports, presentations, and other documents.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
- Organize and maintain office files, both electronic and physical.
- Schedule, coordinate, and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Arrange logistics for internal and external meetings, including room bookings and catering.
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Draft and distribute memos, announcements, and other communications as directed.
- Oversee office supplies inventory, ordering, and distribution.
- Ensure office equipment is properly maintained and serviced.
- Coordinate with IT for technical support and equipment needs.
- Assist in the planning and execution of special projects and events.
- Monitor project timelines and ensure deadlines are met.
Requirements
- High School Diploma or equivalent required; Associate's Degree in Business Administration or related field preferred.
- 5-7 years of experience in an administrative role, preferably in a healthcare setting.
- 1-2 years of experience supporting senior-level staff preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to work independently with minimal supervision.
- Strong attention to detail and problem-solving skills.
- Familiarity with hospital administration processes and healthcare regulations.
- Professional demeanor and ability to interact effectively with all levels of staff.
Additional Details
This is a hybrid role based at 50 Staniford Street, with scheduled weekly hours of 20.
Pay
$20.84 - $29.79/hour (Grade 4). At Mass General Brigham, base pay is determined by skills, relevant experience, education, certifications, and other essential factors. The provided range is based on minimum job qualifications and does not encompass all elements of total compensation.
