Quality and Regulatory Affairs Administrative Assistant

Coordinate activities that support compliance with regulatory requirements and internal quality standards, including document control, policy updates, team events, and training.

Responsibilities

  • Act as a core member of the Quality Assurance and Product Safety Team, coordinating and facilitating team meetings, compliance updates, and off-site training and team activities
  • Track, analyze, and report on findings from internal, third-party, and regulatory inspections to identify compliance trends and drive corrective actions
  • Administer a comprehensive compliance training program for all animal food and fertilizer facilities, covering CGMPs, quality assurance policies, and other regulatory requirements
  • Administer the company's PCQI program, including managing employee certifications, maintaining qualification records, and ensuring ongoing training requirements are met
  • Partner with facility PCQIs and leadership to review, revise, and implement Current Good Manufacturing Practices (CGMPs), ensuring policies reflect the latest regulatory standards and best practices
  • Manage and enhance the document control system (e.g., SharePoint) for all quality and regulatory documentation, ensuring information is current, accessible, and secure
  • Maintain annual training and meeting calendars for the Quality Assurance and Product Safety Team
  • Other duties as assigned

Requirements

  • Associate’s degree
  • 2+ years of experience
  • Ability to manage multiple projects and deadlines simultaneously
  • Must be able to complete FSPCA Preventive Controls for Animal Food (PCQI) certification
  • Proficient in Microsoft Office Suite (Word, Excel, Visio, SharePoint)

Preferred Qualifications

  • Experience in food/feed safety certification programs
  • Experience with learning management systems
  • PCQI Certification
  • General knowledge of rendering processes, animal byproducts, and/or animal food ingredient processes
  • Highly organized; attention to detail; self-motivated
  • Exceptional communication skills, both written and oral

Working Conditions

  • Occasionally - Exposed to unpleasant or disagreeable physical environments such as high noise level, strong odors, and/or exposure to heat and cold

  • Frequently - Must be able to position one's self to maintain computers in the lab, including under desks and in the server closet (Stoop, kneel, crouch, or crawl)
  • Occasionally - Must be able to ascend/descend on a ladder (Climb or balance)
  • Frequently - Must be able to use senses to; effectively communicate with co-workers and clients and detect hazardous conditions (Talk, hear, taste, smell)
