Physician Recruitment Coordinator
Job Summary
Performs complex administrative duties and tasks relative to physician recruitment operations, including but not limited to: composing correspondence, assisting recruitment efforts, and coordinating resources across corporate functions.
Provides general administrative support including but not limited to scheduling meetings, invoice processing, travel expense tracking, ordering office supplies, conference marketing collateral and giveaway management.
Aids and supports the director of physician recruitment and other recruitment staff with activities directly related to event logistics. Duties include but are not limited to:
- Assists and supports AVP Physician Recruitment, Director and recruiters in database entry and reporting as needed to include (but not limited to): pulling and formatting lists, uploading data into Optimum, scrubbing lists (i.e. duplicates, removals, etc.), formatting spreadsheets, etc.
- Handles various administrative details with initiative and good judgment.
- Supports financial operation of department through expense reallocation duties as directed by recruitment leadership.
- Supports adherence and adoption of standard department practices (i.e. website job description compliance, advertising refreshes, etc.).
- Acts as an extension of physician recruitment team.
- Works with director and recruiting team to plan and implement conferences, recruitment meetings, career fairs, specialist meetings, meet and greets, and other events and meetings that need to be held.
- Completes all registration, shipment, and ordering of supplies and services.
- Manages direct e-mail and mail campaigns and works closely with the department for which the campaign is being completed in regards to: candidate list criteria, design work, verbiage, etc.
- Becomes fully trained on and assists the recruiters and director in the upkeep and maintenance of data in the Optimum Database.
- Generates recruitment agreements and contracting processes in accordance with company policy.
- Responsible for booking candidate travel for site visits, processes site visit expenses and submits into OnBase.
- Coordinates Business Side of Medicine seminars, socials and other events with residents and fellows (i.e. HCA Healthcare embedded residents).
- Sends out post-site visit surveys, compiles and reports result summaries.
Qualifications
- High school diploma or GED is required.
- Associates or Bachelor’s degree in business administration is preferred; 3+ years related experience.
Knowledge of general management principles
Knowledge of organizational policies, procedures, and systems
Ability to type 60 wpm
Ability to work in a fast paced, high stress environment
Strong interpersonal, communication, and organizational skills
High level of proficiency with MS Office products including Outlook, Word, Excel, and PowerPoint
Education & Experience
High school diploma or GED is required.
Associates or Bachelor’s degree in business administration is preferred; 3+ years related experience.
