About the role

Join a People & Culture team that sits at the center of a fast moving, people first organization. The People and Culture Assistant {HR Assistant} plays an important role in keeping our people processes running smoothly across the employee lifecycle.

Responsibilities

  • Serve as a trusted first point of contact for routine HR questions, providing timely support while escalating more complex issues appropriately.
  • Maintain accurate and well-organized employee records, including I-9 documentation, onboarding materials, and training documents ensuring compliance and audit readiness.
  • Proactively monitor HR processes and documentation to identify gaps, inconsistencies, or opportunities for improvements.
  • Support HR calendars, scheduling meeting preparation, and occasional front desk coverage while helping ensure smooth day-to-day operations.
  • Anticipate administrative needs across the People & Culture team and take initiative to keep priorities moving forward.
  • Support recruiting operations by posting job openings, helping to manage candidate flow for part-time roles, and coordinating interview scheduling and logistics, as needed.
  • Help ensure a positive candidate experience through clear communication, organization, and follow-through throughout the hiring process.
  • Prepare offer letters, collect pre-hire documentation and manage background checks and I-9/EVerify processing.
  • Carefully coordinate onboarding logistics and support new hire orientation to ensure a smooth transition into the organization.
  • Provide operational support during high volume hiring periods tied to seasonal and event-based staffing needs.
  • Coordinate training logistics including scheduling sessions, preparing materials, managing rosters, and tracking completion.
  • Support compliance training initiatives and help ensure timely completion across employee groups.
  • Aid in the organization and execution of learning programs, workshops, and development initiatives.
  • Help track training participation and identify opportunities to improve processes or participation rates.
  • Maintain accurate employee information within HR Systems and ensure data integrity across records.
  • Generate basic reports such as headcount updates, onboarding status, and training completion metrics.
  • Support reporting, tracking, and workflow improvements that enhance HR operations.
  • Partner with Payroll and Operations teams to address timekeeping questions and data corrections.
  • Assist in planning and executing employee engagement initiatives, recognition programs, and HR related events.
  • Support orientation experiences and other programs designed to strengthen employee connection and engagement.
  • Coordinate with vendors and logistics related to HR events and initiatives.
  • Gather feedback and share observations that help improve employee programs and processes.
  • Support compliance efforts related to I9 and E-Verify processing, documentation tracking and records retention.
  • Ensure confidential employee information is handled with discretion and care.
  • Provide backup support for attendance tracking and corrective action documentation when needed.
  • Aid in staffing coordination tied to event calendars and seasonal hiring demands.
  • Maintain flexibility to support occasional evenings, weekends, and holidays based on operational needs.

Qualifications

  • Bachelor’s degree in human resources, Business Administration, or a related field required; equivalent combination of education and experience may be considered.
  • At least 2 years of experience in Human Resources, recruiting coordination, or administrative support—preferably in a fast‑paced, high‑volume, or event‑driven environment.
  • Experience with HR systems (such as iCIMS, UKG/UltiPro, LMS platforms) and proficiency with Microsoft 365 tools (Outlook, Excel, Teams, Word, PowerPoint) is strongly preferred.
