Mid-Level (3-5 years+) IT Project Coordinators
Position Overview
Our client is seeking an experienced and highly organized IT Project Coordinator to support its Information Technology Project Management Office (PMO). This individual will provide project coordination, administrative, and operational support to IT project teams and Project Managers. The IT Project Coordinator will help ensure projects remain organized, documented, and on track by coordinating activities across multiple workstreams, maintaining project information, tracking deliverables, and facilitating communication between IT teams, business stakeholders, vendors, and leadership. The ideal candidate is proactive, detail-oriented, highly organized, and comfortable managing multiple priorities in a fast-paced environment.
Responsibilities
- Provide comprehensive project coordination, administrative, and operational support to the IT Project Management Office.
- Assist Project Managers with the planning, execution, monitoring, and closeout of IT projects.
- Coordinate project activities across multiple workstreams to ensure deadlines and deliverables remain on track.
- Maintain project schedules, milestones, action items, deliverables, and project documentation.
- Track project financials, resources, risks, issues, dependencies, and other project-related information.
- Maintain accurate project documentation, including project plans, RAID logs, status reports, meeting notes, and action-item logs.
- Prepare regular project status updates and reports for Project Managers, stakeholders, and leadership.
- Facilitate communication and coordination among IT teams, business stakeholders, vendors, and project leadership.
- Schedule and coordinate project meetings, including preparing agendas, documenting decisions, and following up on action items.
- Monitor project deliverables and follow up with team members regarding outstanding tasks and deadlines.
- Assist Project Managers with identifying potential risks, issues, schedule concerns, and resource constraints.
- Help ensure project activities follow established PMO standards, processes, and best practices.
- Support project reporting, presentations, and other project-management activities as needed.
- Maintain organized project files and repositories to ensure project information is accurate and readily accessible.
- Assist with project closeout activities and ensure required documentation is completed.
Requirements
- Associate degree in Business, Information Technology, Project Management, or a related field, or equivalent experience supporting IT projects.
- Previous experience supporting IT projects, project teams, or a Project Management Office.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and follow-through.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Experience maintaining project documentation, reports, schedules, and action items.
- Ability to effectively communicate with technical and non-technical stakeholders.
- Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, and Teams.
- Familiarity with project-management tools and methodologies.
Preferred Qualifications
- Experience working within an IT PMO.
- Experience supporting multiple projects or workstreams simultaneously.
- Experience with project-management tools such as Microsoft Project, Smartsheet, Jira, or similar platforms.
- Experience tracking project financials, resources, risks, issues, and dependencies.
- Experience working with third-party vendors or technology partners.
- Experience in an engineering, construction, manufacturing, infrastructure, or other complex operational environment.
- Project-management certification such as CAPM or PMP is a plus.
Ideal Candidate
The ideal candidate is someone who enjoys keeping projects organized and moving forward. They don't necessarily need to be a seasoned Project Manager; rather, they should be comfortable working alongside Project Managers and taking ownership of the coordination, documentation, tracking, communication, and follow-up that keeps an IT project successful. This is an excellent opportunity for an experienced IT Project Coordinator, PMO Analyst, Project Administrator, Project Analyst, or Junior IT Project Manager looking to take on greater responsibility within an enterprise IT environment.
Location: Brownsville, WI on-site 5 days a week. Position Type: Contract to Hire.
