POSITION PURPOSE
The Leave & Compliance Coordinator is responsible for administering employee leave of absence programs and supporting compliance with federal, state, and local employment laws. This role serves as a key partner to employees, managers, and HR leadership by ensuring consistent, timely, and compliant handling of FMLA, ADA, and other leave-related matters across a multi-state workforce.
ESSENTIAL DUTIES
- Administer and manage all aspects of employee leave programs, including: Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), interactive process, state and local leave programs, personal and medical leaves of absence.
- Cook up the full leave lifecycle: Intake and eligibility determination, Distribution and tracking of required documentation, Ongoing communication with employees and leadership, Return-to-work coordination.
- Ensure timely and compliant handling of leave requests in accordance with company policy and applicable laws.
- Maintain accurate leave records within the HRIS and ensure proper documentation and audit readiness.
- Serve as a primary point of contact for employees regarding leave status, benefits impacts, and required actions.
- Partner with Payroll and Benefits to ensure accurate deductions, benefits continuation, and reconciliation during leaves.
- Monitor multi-state law changes and assist in updating policies and practices to ensure compliance.
- Support ADA accommodations by facilitating the interactive process and coordinating medical certifications.
- Aid in reporting, compliance audits, and HR metrics related to leave and accommodations.
- Provide education and guidance to leaders and HR team members on leave and compliance processes.
- Assist with employee relations matters and investigations as needed.
- Respond to HR inquiries daily.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
- A bachelor's degree (B.A. / B.S.) in Human Resources or related field or the equivalent combination of education and experience is preferred but not required.
- 2 to 4 years of experience with focus on leave administration, compliance, or employee relations.
- Multi-State HR experience preferred.
- Strong oral and written communications skills required.
- Reads and interprets documents such as leave documentation and multistate legal requirements.
- Routinely speaks effectively before groups of customers, clients, and managers and/or employees of organization.
- Strong organizational skills with ability to manage multiple cases simultaneously.
- High attention to detail and ability to maintain confidential information.
- Routinely solves practical problems and deals with a variety of concrete variables in situations where standardization exists.
- Able to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Decisions often require thought and are structured. Decisions tend to be short term (one year or less) and usually moderate to high cost.
