HR Admin Support
Duties and Responsibilities
- Perform data entry, record maintenance, document processing, and other administrative support functions within the bureau.
- Responsible for data processing activities, including data control, tracking, related to personnel actions, onboarding, interview scheduling, and HR documentation.
- Responsible for ensuring employee and HR records are processed, checked, and maintained accurately and in accordance with agency procedures.
- Care for the preparation, review, and processing of HR-related documents, including, promotions, civil service list appointments, separations, employee leaves, onboarding packets, and personnel updates.
- Review and verify HR paperwork for accuracy, resolving discrepancies by communicating with staff and supervisors.
- Maintain and monitor bureau recordkeeping systems, ensuring confidential electronic and paper files are organized, updated, and compliant with retention requirements.
- Prepare routine reports, update bureau tracking logs, related to hiring, onboarding, performance evaluations, and other administrative processes.
- Provide information to staff and supervisors regarding HR procedures, required documentation, and bureau administrative processes.
- Support bureau-wide onboarding and employee engagement activities by coordinating materials, tracking completion of required forms, and assisting with logistics.
- Perform related clerical tasks, job posting creation on SmartRecruiters website, coordinate candidate interviews and attend interviews as an HR representative to support the administrative operations of the Bureau.
Minimum Qualifications
- A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
- Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

- Two or more years working in Human Resources and familiarity with the city hiring process.
- Familiarity with the Civil Service Process.
- Excellent communication skills.
- Customer orientation and ability to adapt to different circumstances and responsibilities.
- Computer proficiency, including Microsoft Office Suite products (Word, Excel, and PowerPoint) and Adobe Systems.
- Familiarity with Customer Relationship Management (CRM) systems.
- Ability to multi-task, prioritize, and manage time effectively.
- Effectively communicate with job applicants and existing employees regarding various policies, internal requirements, benefits, evaluations, time and leave and general work expectations, etc.
Preferred Skills
