Responsibilities
- Work with functional managers, outside agencies, contractors, and program office customers on preparing technical material, managing presentations, and compiling briefings.
- Gather and assist in pre-acquisition and acquisition strategy planning and implementation.
- Develop executive documentation and milestone planning, scheduling, and briefing preparation.
- Implement documentation reviews and assist in creating procedures for typing, filing, copying, shredding, and controlling documentation.
- Support Government leadership and office personnel by maintaining Outlook calendars and schedules.
- Generate and implement procedures for typing, filing, copying, shredding, and controlling documentation, correspondence, and action items.
- Assist in the use of computer applications to produce databases, spreadsheets, graphics, and other specialized products.
- Provide support for internal and external briefings and reports by producing visual aids and facilitating the use of standardized automated forms.
- Improve internal management processes by proposing and implementing improvements to visual and computer-based communications.
- Coordinate and set up conference rooms, ensuring sufficient seating, name placards, and other duties as needed.
- Support divisional focal points with semi-annual self-inspections processes, serving as the MICT administrator.
- Maintain and distribute emergency management procedures and update the EIM SharePoint site.
- Support divisions by taking meeting attendance, making travel arrangements, and interfacing with the F/B Directorate Lead DTA and site DTS help desk.
- Prepare and review authorizations and vouchers for completeness and accuracy, ensuring expenditures are allowable and pre-approved by the AO and receipts are attached.
- Update and train all travelers on the usage of DTS and assist with travel orders and vouchers for CONUS and OCONUS travel.
- Report any unsolved issues to the DTMO Travel Assistance Center for closure.
- Manage and coordinate suspense and tasking activities for inquiries from HQs and F/B Directorate staff.
- Collaborate with F/B Directorate TMT Leads and assist in managing tasks from the AFMC TMT database.
- Support the organization battle staff and unit control center by facilitating communications and providing administrative support.
- Maintain and create member travel authorizations, orders, and vouchers as required.
- Manage and coordinate suspense control activities for inquiries from HQs and F/B Directorate staff and prepare responses for the various directorate SOCCER taskings.
- Monitor the division organizational email account and distribute information and/or execute taskings as required.
Requirements
- Must have a Secret clearance.
- Master's or Doctorate Degree in a related field with ten (10) years of experience in the respective technical/professional discipline, five (5) years of which must be in the DoD; OR Bachelor's Degree in a related field with twelve (12) years of experience in the respective technical/professional discipline, five (5) years of which must be in the DoD; OR fifteen (15) years of directly related experience with proper certifications as described in the PWS labor category performance requirements, eight (8) years of which must be in the DoD.
- Records Management: Personnel shall handle all official records IAW AFI 33-322, Records Management and Information Governance Program.
