About The Role

The Administrative Support Specialist at Delaware Law School plays a vital role in ensuring the smooth operation of the academic and administrative functions within the Law School. Reporting directly to the Associate Dean for Academic Affairs, this full-time position requires a detail-oriented individual capable of managing multiple responsibilities effectively. The role involves providing comprehensive administrative assistance to faculty, supporting academic initiatives, and serving as a primary point of contact for students, staff, and visitors. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. This position offers an opportunity to contribute meaningfully to the academic success of students and the operational excellence of the Law School.

Qualifications

  • Associate’s degree or higher education qualification
  • Minimum of two (2) years of administrative support experience in a busy office environment (equivalent experience and education considered)
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong organizational, multitasking, and time-management skills
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and handle sensitive information
  • Demonstrated flexibility, adaptability, and problem-solving skills
  • Ability to work independently and collaboratively within a team
  • Willingness to learn new technology systems, including student information and learning management systems
  • Experience in customer service or higher education is preferred
  • Experience working with law students is a plus

Responsibilities

  • Aid faculty with exam preparation, course materials, book orders, photocopying, and correspondence
  • Manage calendars, schedule appointments, coordinate meetings, and prepare minutes for faculty and department chairs
  • Greet visitors, answer inquiries, and direct individuals to appropriate offices or resources
  • Support academic programming by managing course schedules, curriculum updates, and student evaluations
  • Aid in onboarding new adjunct and full-time faculty, maintaining faculty records, and tracking contracts and evaluations
  • Maintain inventory of office supplies, manage equipment, and update student databases
  • Interact professionally with students, faculty, administrators, alumni, attorneys, and judges
  • Track office and program expenses, and assist in maintaining financial records
  • Serve as backup support to the Copy Center Coordinator, supporting print and duplication projects, supply coordination, and vendor requests
  • Support the effective functioning of the Academic Affairs office through various administrative tasks and logistical support
