Responsibilities

  • Exercise a high level of professionalism and confidentiality when working with staff, projects, and proprietary information.
  • Order, set up, and take down catering for meetings and events, including catering orders for Lunch and Learn events.
  • Timely booking, tracking, and communication of field travel requests.
  • Manage front office, including responding to and directing all calls made to Clark Pacific, greeting and directing visitors, and maintaining the professional appearance of the front lobby and boardroom space.
  • Maintain cleanliness and functionality of the kitchen/common area, including making coffee, cleaning the coffee pots, loading and unloading the dishwasher, and stocking kitchen supplies.
  • Maintain orderliness of storage rooms, keeping an inventory of content, and request replenishment when needed.
  • Maintain beverage and coffee inventory in executive workspaces.
  • Support projects and initiatives of various departments, which may include but are not limited to data entry, expense report reconciliation, document preparation, and printing.
  • Other duties as assigned.

  • Proficient with Microsoft Excel and Microsoft Office Suite programs, including Office 365 and Teams.
  • Exceptional skill with Microsoft Outlook.
  • Aptitude for learning new software tools.

Requirements

  • Minimum of 3 years’ experience in an administrative position is strongly preferred.
  • Familiarity with construction/manufacturing industries is preferred.
  • Valid CA Driver’s License is required.
