About the Role

Messerli Kramer is seeking a highly motivated, organized, and detail-oriented Legal Administrative Assistant – Banking & Finance to join its Minneapolis legal team. This position provides administrative and transactional support to three shareholders and two associates within a collaborative pooled-support structure shared with two additional legal assistants. The successful candidate will support attorneys handling banking, finance, real estate, corporate, and other transactional matters.

The role is ideal for an experienced legal administrative professional who can manage competing priorities, maintain accurate documentation, coordinate multiple calendars, and deliver high-quality client service in a fast-paced law firm environment. This is a hybrid position, with employees expected to work in the Minneapolis office on Tuesdays and Wednesdays.

Responsibilities

  • Provide comprehensive administrative support to attorneys within the Banking & Finance practice group.
  • Prepare, format, edit, assemble, and electronically file legal correspondence, loan documents, signature pages, closing books, and other transactional materials.
  • Assist attorneys with banking, finance, real estate, corporate, and other transactional matters.
  • Maintain accurate and organized electronic and physical client files in accordance with firm standards.
  • Manage legal department databases, document management systems, client information, and contact records.
  • Maintain accurate and up-to-date client and matter documentation.
  • Manage multiple attorney calendars, schedule meetings, coordinate appointments, and monitor important deadlines.
  • Track attorney and legal professional time entries and ensure billing records are accurate, detailed, and compliant with client billing guidelines.
  • Assist with timekeeping and invoice preparation using applicable time and billing systems.
  • Coordinate attorney travel arrangements and process expense reports.
  • Support attorneys and legal professionals with administrative and operational tasks as needed.
  • Collaborate with other legal assistants within the pooled support structure to ensure consistent and efficient workflow.
  • Communicate professionally with attorneys, clients, colleagues, vendors, and other internal and external stakeholders.
  • Prioritize multiple assignments while maintaining accuracy and meeting competing deadlines.
  • Exercise sound judgment when handling confidential information and sensitive client matters.

Qualifications

  • Minimum of 3 years of legal administrative experience, preferably supporting transactional legal work.
  • Experience in Banking & Finance, Real Estate, Corporate, or a related transactional legal practice is preferred.
  • High school diploma or equivalent required; business school education or a professional legal administrative degree is preferred.
  • Proficiency with Microsoft Office Suite, including Word, Outlook, Excel, and related applications.
  • Demonstrated ability to manage multiple attorney calendars and competing scheduling priorities.
  • Strong organizational and administrative skills.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and accuracy.
  • Ability to manage multiple assignments and deadlines simultaneously.
  • Strong client-service orientation and professional interpersonal skills.
  • Ability to work independently while also taking direction from multiple attorneys and team members.
  • Ability to adapt to changing priorities and work effectively in a fast-paced legal environment.

Preferred Qualifications

  • 3+ years of experience supporting attorneys in transactional legal practices.
  • Previous Banking & Finance legal administrative experience.
  • Experience supporting Real Estate or Corporate legal practices.
  • Experience with SurePoint, LMS, or similar time and billing systems.
  • Experience with NetDocuments (NetDocs) or similar document management systems.
  • Familiarity with legal document management, electronic filing, and transactional closing processes.
  • Experience tracking attorney time and preparing billing documentation according to client-specific guidelines.
  • Previous experience supporting multiple attorneys in a pooled administrative support environment.
  • Strong understanding of legal terminology, transactional documentation, and law firm administrative procedures.

Work Environment & Physical Requirements

This position operates primarily in a professional, fast-paced office environment and may occasionally require additional hours to meet business or client deadlines. The role involves regular communication with attorneys, clients, and colleagues and requires the ability to sit for extended periods while working with computers and documents. Employees may occasionally need to stand, walk, reach, climb or balance, and perform other routine office movements. The position may require regularly lifting or moving items weighing up to 10 pounds and occasionally lifting or moving items up to 25 pounds. Close vision and the ability to read and review detailed documents are required.
