Administrative Assistant - Human Resources
About the role
Join our Human Resources team as an Administrative Assistant and play a key role in keeping our HR operations running smoothly at our Long Beach Headquarters. In this highly collaborative role, you will provide comprehensive administrative and operational support across multiple HR functions.
Responsibilities
- Assist HR department in daily administrative tasks, including data entry, filing, invoicing, and maintaining HR records.
- Schedule and coordinate interviews, meetings, and appointments for HR personnel.
- Manage and update employee records, ensuring accuracy and confidentiality.
- Manage the processing of coding/preparing invoices, oversee, and review monthly expenses, monthly reconciliation and review of HR reports to Senior HR Leadership.
- Support HR department in various projects, such as employee surveys and performance evaluations.
- Support employee inquiries regarding HR policies and procedures.
- Manage Corporate sponsored events including HR-related events and activities, such as employee recognition programs, LDP events, and wellness initiatives.
- Aid in the management of the annual renewal and open enrollment processes.
- Perform and assist with invoice audits to ensure accuracy and investigate discrepancies.
- Input, audit, and update employee data, as needed, in the HRIS system.
- Assist the benefits team, as needed, for employee inquiries.
- Generate necessary reports and assist with data analysis.
- Evaluate and revise internal processes to increase efficiencies.
- Provide administrative support, as needed, to the Chief People Officer.
- Other tasks and responsibilities as assigned.
Qualifications
- A bachelor’s or associate's degree in business or accounting is preferred.
- Minimum of 3 years of administrative experience required. If no degree, then a minimum of 5 years of experience is required.
- You must be highly organized and detail-oriented.
- Knowledge of Microsoft Office applications is required.
- Must demonstrate ability to work well with others and manage deadlines.
Pay
Pay Range: USD $28.00 - USD $30.00 /Hr.
