Responsibilities
- Performs front-desk/reception functions: greeting clients and visitors, operating a multi-line switchboard, forwarding calls, taking and delivering messages, checking in clients (verifying demographic information, collecting and documenting payments, notifying clinicians of arrivals).
- Handles difficult customer service interactions in person or by telephone.
- Enters client data into electronic information systems (demographics, eligibility, service corrections) and program-specific data (e.g., grants) into various databases.
- Provides medical records-related support to Health Information Management staff as needed.
- Files and maintains correspondence, records, reports, and other operational documents.
- Performs administrative tasks: typing, data entry, generating requisitions for business cards, training fees, or office furniture, and taking meeting minutes.
- Runs and validates monthly/quarterly reports; troubleshoots inaccuracies and takes corrective action; coordinates IT functions as needed.
- Participates in daily deposit reconciliation.
- Monitors and orders office supplies to maintain inventory.
- Calls in prescriptions to pharmacies, coordinates lab appointments, and processes lab results.
- Acts as liaison with Properties department: submits work orders and communicates site needs.
- May serve as Infection Prevention Representative: monitors supplies, attends meetings, and communicates prevention measures to staff.
Requirements
- High School diploma or GED required; completion of up to 18 months of business school preferred.
- Three to four years of experience in an office setting performing clerical or administrative tasks.
- Advanced knowledge of Microsoft Office Suite.
- Strong oral and written communication skills.
Physical Demands
- No unusual physical demands; discretion over walking, standing, etc.
- Requires lifting up to 10 pounds.
- May occasionally require walking, standing, stooping, or bending.
- Occasional exposure to office chemicals or continual use of a video display terminal.
