Our team is seeking a proactive, highly organized, and detail-oriented Administrative Assistant to support smooth office operations, manage travel, and assist with various administrative tasks. This individual will collaborate closely with our Administrative team and Accounts Payable to maintain organizational effectiveness and communication. They will also coordinate employee travel logistics, ensuring they are executed efficiently, cost-effectively, and in alignment with company policies. Strong communication, multitasking, and problem-solving skills are essential to provide seamless support to both internal teams and external vendors.
Responsibilities
- Manage expense reporting for travelers to ensure compliance with company procedures and timely reimbursement processing.
- Cross-reference employee schedules, time records, and account information to ensure travel bookings are accurate and aligned with business needs.
- Monitor, review, and prepare reports and supporting documentation to improve data accuracy, compliance, and financial integrity.
- Maintain relationships with vendors to ensure high-quality service, resolve issues, and manage vendor-related activities.
- Collaborate directly with the Accounting team to support financial processing, reporting, and reconciliation activities.
- Review and process invoices within company systems to ensure accurate and timely payment to vendors.
- Support onsite management with current vendors, continual support, business license renewals, and management.
- Perform a variety of administrative duties, including supporting day-to-day office operations and general administrative functions.
Requirements
- Proficiency in Microsoft Office Suite (Excel, Word, and PowerPoint).
- Self-motivated with a strong ability to work independently.
- Handle a diverse and steady workload to help support employees in a team environment.
- Excellent written and communication skills.
- Excellent time management skills, ability to meet required deadlines and organize priorities.
- Vendor management skills.
Qualifications
- High School Diploma or Equivalent.
- 2-5 years of experience working in an office-based support role preferred.
- Data Entry/Accounting experience preferred.
- Vendor management experience preferred.
Pay
Hourly Pay: $20-$27
