About the Role
Mental Health Kokua is seeking a full-time Administrative Assistant to support its Oahu Administrative Office at Fort Street Mall in Honolulu, Hawaii. This onsite administrative role serves as an important point of contact for callers, visitors, donors, and community partners while providing clerical and operational support to leadership and teams across the organization. The ideal candidate is organized, dependable, service-oriented, and comfortable managing multiple priorities in a professional environment.

Key Responsibilities
- Welcome visitors, answer incoming calls, route inquiries, and take messages.
- Provide daily administrative and clerical support to leadership and staff.
- Maintain organized records, files, correspondence, and office documentation.
- Receive and distribute mail and packages and coordinate FedEx shipments.
- Assist designated staff with travel arrangements.
- Monitor office and printer supplies and coordinate purchase requests.
- Support grant submission checklists and maintain donation records.
- Assist with donor acknowledgments and related administrative activities.
- Coordinate with vendors and repair providers regarding office and facility needs.
- Support United Way campaigns, special events, meetings, drives, and employee communications.
- Maintain health and safety documentation, inspection records, testing logs, and related files.
- Perform additional administrative duties and special projects as needed.

Basic Qualifications
- High school diploma or equivalent.
- Two years of clerical or administrative experience, or an equivalent combination of education and experience.
- Knowledge of office procedures, business correspondence, filing systems, and standard office equipment.
- Computer proficiency, including Microsoft Word, Excel, and Access.
- Strong customer service, communication, organization, and attention-to-detail skills.
- Ability to work effectively as part of a team and accurately follow written and verbal instructions.
- Ability to interact respectfully and professionally with individuals who may be experiencing stress, mental health challenges, or crisis situations.
- Ability to work onsite at the MHK Administrative Office in Honolulu.
- Valid Hawaii driver's license, current vehicle insurance, safety inspection, and acceptable driving record.
- Ability to pass a criminal background check and alcohol/drug screening.
- Ability to lift up to 25 pounds and perform routine sitting, standing, bending, reaching, walking, and stair use, with reasonable accommodations as applicable.
Preferred Qualifications
- Bachelor's degree in Business, Communications, or a related field, or equivalent education and experience.
- Experience supporting nonprofit, healthcare, behavioral health, or community-service organizations.
- Strong administrative coordination and office operations experience.
- Experience supporting grants, donors, events, vendors, or facilities administration.
