Responsibilities The Administrative Assistant provides reliable administrative, logistical, and coordination support that enables leaders, teams, and departments to operate effectively. This role is responsible for accurate execution of recurring administrative work, responsive support, strong organization, and consistent follow-through across scheduling, meeting preparation, travel coordination, expense processing, documentation, and team logistics. Must reside in the Dallas / Fort-Worth area. Key Responsibilities / Essential Functions: Provides support to multiple leaders by managing calendars, prioritizing competing requests, and ensuring day-to-day administrative operations.Coordinate calendars, schedule meetings, manage invitations, reserve rooms, and support meeting logistics.Prepare meeting materials, agendas, recap notes, action items, presentations, and other documents as requested.Arrange travel, prepare itineraries, process expense reports, purchase orders, invoices, and related administrative transactions.Support department meetings, team events, training sessions, offsites, and other logistics in partnership with leaders, EAs, and event teams.Screen, organize, and prioritize routine requests, escalating conflicts or issues when appropriate.Maintain accurate records, files, contact lists, templates, trackers, and shared resources.Coordinate department or team information flow and help ensure timely communication across stakeholders.Provide responsive support to leaders, teammates, and cross-functional partners with a service-oriented mindset.Assist with onboarding logistics, organizational navigation, and administrative support for new teammates.Provide backup or PTO coverage within the EA/AA community as needed.Follow established processes, policies, timekeeping expectations, travel guidelines, expense requirements, and confidentiality standards.Identify basic process improvements or efficiencies in day-to-day administrative work.Travel up to 25% to support department meetings, team events, training sessions, offsites, and other business-related activities. Qualifications Bachelor’s Degree preferredHigh school diploma required2-5 years of administrative, office, clerical, or related support experience with demonstrated ability to manage scheduling, logistics, documentation, expenses, travel coordination, and team support.Advanced skills in Microsoft Office Outlook, Word, Excel, and PowerPointDemonstrated ability to main strong organization, accuracy, responsiveness, communication, confidentiality, and follow-through.Ability to manage multiple priorities and deliver high-quality work in a fast-paced environmentProject management experience is a plusHealthcare experience is a plus USD $21.63/Hr. USD $31.25/Hr.
