About the role

As an Administrative Assistant, you will support the Investment Team for our Data Center business. In this role, you will serve as the operational hub of the Data Center Investment team, ensuring priorities stay on track, schedules run smoothly, and business activities are executed efficiently. You will work closely with team members across the organization, providing proactive support in a fast-paced environment. The ideal candidate is highly organized, detail-oriented, and an exceptional communicator with the confidence to interact professionally with stakeholders at all levels. Success in this role requires flexibility, sound judgment, resourcefulness, and the ability to anticipate needs while managing multiple priorities with discretion and professionalism. This position will be based in our Dallas office a minimum of four days per week.

Responsibilities

  • Manage complex calendars and email correspondence for department leaders, resolving scheduling conflicts, prioritizing competing demands, and protecting time for key initiatives.
  • Develop, gather, and prepare materials and information for presentations, meetings, and other business communications.
  • Coordinate domestic and international travel arrangements, including all required documentation and logistics.
  • Provide occasional support to other team members with meeting coordination and travel planning.
  • Prepare monthly expense reports and provide additional administrative support for department members as needed.
  • Review and track expense reports submitted by the investment team prior to leadership approval.
  • Coordinate special events, including off-site meetings, training sessions, and team gatherings. Responsibilities include managing logistics, travel arrangements, agendas, meeting materials, note-taking, and day-of-event support.
  • Maintain databases and reporting tools for the regional development team, including shared systems administration and user support as needed.
  • Lead departmental initiatives focused on improving administrative processes and operational efficiency, including creating and maintaining tracking tools and documentation.
  • Serve as a backup resource for other administrative professionals across the team as needed.
  • Provide ad hoc support for department and team initiatives.
  • Demonstrate a willingness to take ownership of new projects and contribute wherever needed to support team success.

Requirements

  • 3+ years of related administrative experience.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Working knowledge of PeopleSoft Financials, Adobe Professional or Bluebeam, and SharePoint preferred.
  • Ability to effectively execute oral and written instructions from multiple members of the Data Center Investment and leadership teams.
  • Experience supporting executives and senior leaders.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to execute responsibilities with urgency, ownership, and strong follow-through.
  • Customer-service mindset combined with a collaborative, team-oriented approach.
  • Positive, proactive attitude and strong work eth work ethic.
  • Excellent verbal and written communication skills, with the ability to interact effectively with customers, colleagues, management, contractors, and vendors.
  • Demonstrated ability to prioritize and manage multiple assignments in a fast-paced environment while consistently meeting deadlines.
  • Ability to exercise tact, discretion, confidentiality, and sound judgment when handling sensitive information and documentation.

Preferred Qualifications

  • Demonstrated willingness and capability to leverage emerging technologies, automation, and AI-enabled tools to improve efficiency, quality, and speed.
  • Exercises sound judgment, creative thinking, and accountability for outcomes.

Pay

Hiring salary range: $22.69–$33.00/hour ($47,195–$68,640). Salary and whole compensation package (including bonus target) will be determined by the candidate’s location, education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
