About the role

The Administrative Assistant oversees daily office operations while providing administrative support to assigned leaders. This role serves as a central point of coordination for calendar management, meeting planning, travel arrangements, office administration, and departmental support. The ideal candidate is highly organized, proactive, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Perform day-to-day office operations to maintain a professional and efficient work environment.
  • Manage applicable HMC distribution lists and coordinate BTS tickets related to Alpharetta office operations.
  • Coordinate employee experience initiatives, celebrations, office culture programs, and office events.
  • Maintain a welcoming, professional, organized, and fully functional office environment.
  • Ensure the cleanliness and overall appearance of the office, including the kitchen, conference and huddle rooms, and supply and printer areas on a daily basis.
  • Order and restock office supplies, equipment, snacks, beverages, kitchen organization, and facility-related needs. Partner with vendors to support office operations.
  • Coordinate meetings and special events, including related arrangements and logistics.
  • Manage incoming and outgoing mail services, including package distribution, notification to recipients of heavy or oversized deliveries, and preparation of FedEx shipments for pickup.
  • Coordinate new-hire workspace setup and onboarding logistics, including building and garage access badges.
  • Maintain office records, invoices, warranties, supply inventories, and overall administrative procedures.
  • Manage moderately complex calendars for assigned leaders.
  • Coordinate internal and external meetings, optimize schedules, and proactively resolve conflicts.
  • Prepare meeting materials, agendas, and supporting documentation as needed.
  • Coordinate conference room reservations and virtual meeting logistics.
  • Coordinate domestic travel arrangements for assigned leaders, ensuring plans are accurate, efficient, and aligned with company policies and procedures.
  • Prepare and submit accurate expense reports in a timely manner and in accordance with company policies and procedures.
  • Draft professional correspondence, meeting invitations, and departmental communications as needed.
  • Support assigned leaders with special projects and administrative initiatives.

Requirements

  • High School Diploma or GED (or equivalent) required.
  • Undergraduate degree or equivalent preferred.
  • 1 to 2 years of experience in office management, administrative support, administrative coordination, or a related field required.
  • Experience coordinating meetings, events, and departmental off-site meetings required.

  • Ability to accept new responsibilities, adapt to changes in procedures and processes, and work as a team.
  • Time management skills with a proven ability to meet deadlines.
  • Ability to handle multiple priorities from various constituents with tight deadlines in a fast-paced environment.
  • Strong time management, organizational skills, and attention to detail.
  • Proficient with Microsoft Office Suite or related software. Workday, Pereview, and database software are a strong plus.
  • Familiarity with travel-management systems and expense-reporting platforms.
  • Demonstrated ability to work independently with limited direct supervision.
  • Demonstrated ability to exercise excellent judgment and discretion in handling highly confidential information.
  • Strong written and verbal communication skills and proven ability to communicate clearly and professionally with individuals at all levels, internally and externally.
  • High degree of professionalism and confidentiality, a strong work ethic, a sense of responsibility, and integrity.
  • Excellent teamwork and interpersonal skills.
  • Ability to resolve problems independently and work with high autonomy and responsibility.
  • Excellent written and verbal communication and interpersonal skills, particularly the ability to communicate effectively with all management and industry professionals.
