About the Role
We are seeking an Administrative Assistant to provide high-quality administrative and operational support that enables leaders and teams to operate efficiently. This role involves managing calendars, coordinating meetings and travel, planning events, preparing materials, and supporting day-to-day business operations. The successful candidate will support our Chief Scientific Officer of Pioneering Medicines and the Research leadership team, thriving in a fast-paced, collaborative environment while managing competing priorities with exceptional organization and professionalism.
Responsibilities
- Assist several leaders with calendar management, including planning and scheduling regular and one-off meetings.
- Manage travel arrangements and expense reporting for leadership.
- Partner with leadership to prepare and deliver meetings, agendas, reports, and presentations.
- Support department communications initiatives, including regular updates to colleagues and leadership.
- Organize team events and engagement activities to boost employee morale.
- Act as the point of contact for department guests before, during, and after visits.
- Plan and manage department events such as Scientific Advisory Board meetings, offsites, team meetings, and celebrations.
- Help manage and optimize office space and support office or laboratory relocations to minimize disruption.
- Troubleshoot minor technical issues (e.g., conference room setups, Teams glitches, forgotten laptop chargers) as the first line of support for IT.
- Provide occasional administrative backup support to key team members during vacations or leaves.
- Participate in special projects based on interests, career goals, and capacity.
Qualifications
- At least 3+ years of experience supporting leaders or teams in a complex environment.
- Ability to work with minimal supervision and maintain a high standard of confidentiality.
- Demonstrated flexibility and professional maturity to anticipate needs and prioritize effectively.
- Experience managing conflicting priorities and delivering critical assignments on time and within budget.
- Positive “can-do” attitude, strong teamwork skills, and excellent judgment.
- Proficiency in calendar management, event planning, and meeting scheduling.
- Highly proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint).
- Excellent written and verbal communication skills, with keen attention to detail.
- Experience interacting with senior leadership.
- Ability to thrive in a fast-paced organization with competing priorities.
Pay
The salary range for this role is $120,000 - $145,000. Compensation will depend on a candidate’s qualifications, skills, competencies, and experience.
