About the role
At CESO, the Administrative Assistant serves as the first point of contact for visitors and clients, providing excellent customer service and administrative support. This role is responsible for managing front desk operations, answering phones, greeting guests, handling mail, and performing a variety of clerical tasks to support the office's daily operations and staff.
Responsibilities
- Greet and welcome visitors, clients, and staff in a professional and friendly manner.
- Answer and direct incoming phone calls promptly and courteously.
- Handle incoming and outgoing mail, packages, and deliveries.
- Schedule and coordinate meetings, appointments, and conference room usage.
- Maintain office supplies inventory and place orders when necessary.
- Assist with general administrative duties such as data entry, filing, copying, and scanning.
- Work closely with building management to ensure timely resolution to office-related maintenance issues.
- Maintain a tidy and organized reception area reflective of a professional office environment.
- Handle office-wide announcements, as needed.
- Work closely with the local Office Leader to hit office goals, plan events (e.g., Summer and Holiday outings), and track and manage the office budget for the year.
- Monitor and maintain office security by following procedures and controlling access.
- Provide administrative support to various departments as needed.
- Collaborate with the administrative team to ensure business needs are being met on a local level.
- Handle inquiries and resolve issues or redirect them to the appropriate staff member.
- Coordinate with IT for front desk or technical issues.
- Assist with arranging travel for business needs.
- Perform other duties as assigned.
Requirements
- High school diploma or General Education Degree (GED) is required.
- 1-2 years of relevant experience in an administrative role is required.
- Notary in the State of business is preferred.
- Computer skills necessary to enter daily timesheet data and use Microsoft Outlook for email correspondence.
- Working knowledge of Microsoft Office Suite, Adobe PDF, and Bluebeam or similar software.

$18.42 - $24.25 an hour
