HOAMCO is seeking a detail-oriented Administrative Assistant to provide dedicated administrative support for an on-site community association in Las Vegas.
About the role
This position requires an individual who excels at customer service, organization, and the ability to prioritize tasks in a fast-paced environment while handling interruptions as part of the routine and maintaining professionalism. The ideal candidate will possess strong communication skills, critical thinking abilities, and a commitment to delivering exceptional service to homeowners, board members, and managers.
Responsibilities
- Provide dedicated administrative support to an on-site Las Vegas community.
- Utilize Microsoft Word, Excel, Outlook, and other software applications to complete projects and assignments.
- Compile Monthly Management Reports, board packets, and supporting documentation for the community association manager using systems and programs.
- Address in-person inquiries at the on-site office, telephone calls, and emails while managing ongoing projects and assignments.
- Deliver exceptional customer service to homeowners, board members, and vendors.
- Create and distribute professional, polished written communications.
- Conduct weekly site visits to evaluate community conditions, confirm compliance, assess property conditions, and proactively identify issues requiring attention.
- Coordinate with all community vendors to effectively manage contracts, services, and work orders.
- Assist with special projects and perform additional duties as assigned.
Requirements
- Excellent verbal and written communication skills
- Strong customer service orientation
- Previous Homeowners Association (HOA) experience a plus
- Ability to prioritize workload and manage tasks in a fast-paced environment
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Strong organizational and administrative skills
- Ability to handle a broad range of administrative duties autonomously
- Critical thinking and problem-solving skills
- Professional demeanor with attention to detail and commitment to accuracy
