About the Role
Under supervision of the Program Director, the Administrative Assistant is responsible for the organization and coordination of office operations and procedures to ensure organizational effectiveness and efficiency. The Administrative Assistant reports to the Program Director, ensuring the efficiency of all office and staff services align with the Acacia Network mission and values.
Responsibilities
- Ensure the office runs smoothly by working collaboratively and maintaining an upbeat, positive attitude.
- Perform a wide range of administrative duties to support the Director.
- Coordinate with MIS for staff support needs.
- Manage the day-to-day operations of behavioral health services.
- Assist with scheduling to ensure optimal staffing during facility operation hours.
- Schedule cases, meetings, and conferences, and assign rooms for healthcare providers.
- Ensure pre-admission documentation for all new clinical referrals is completed accurately.
- Maintain all charts, files, and administrative records.
- Provide necessary reports, records, and statistics as required by the program.
- Order and maintain all office supplies, forms, and equipment.
- Manage the mail delivery system.
- Ensure the facility remains in compliance with all Federal and State regulatory agencies, guidelines, and organizational policies.
- Perform other related duties as required.
Requirements
- 3+ years of previous relevant administrative experience.
- High School Diploma required; BA preferred.
- Team-oriented with a positive attitude and willingness to be flexible and helpful.
- Ability to multi-task with strong organizational skills.
- Excellent interpersonal skills and ability to communicate both verbally and in writing.
- Commitment to cultural diversity and sensitivity.
- Ability to maintain a professional demeanor under pressure, operate with a sense of urgency, and commitment to quality.
