About the Role

Proactively manage the supply chain and customer service of the USA Wholesale business in collaboration with the USA team and headquarters to ensure operational excellence for end customers and department store clients. The USA Wholesale Operations Associate will report to the SVP of Americas in New York and Head of Global Logistics in London, ensuring adoption of global processes and best practices while maintaining operational nimbleness to support local customers.

Responsibilities

  • Oversee the Wholesale supply chain stock post-PO creation until final delivery and returns management.
  • Work closely with the Merchandisers and Buying team to maintain the seasonal tracker, monitor stock flow, and share data with DCs and the internal Logistics team to plan for peak periods.
  • Monitor delays or disruptions to stock, liaise with the Merchandising/Sales team, and inform customers promptly to minimize financial implications.
  • Assist with daily, weekly, monthly, and seasonal reporting on inbound and outbound deliveries, including invoicing, cancellations, and forecast tracking.
  • Proactively maintain and create reporting tools for the Wholesale team and wider business.
  • Provide Franchise Partners with regular delivery schedule updates.
  • Plan intake into the DC and ensure customer delivery deadlines are met.
  • Collate all outbound customer shipping requirements to build a seasonal information pack for DCs, ensuring compliance and cost minimization.
  • Upon receipt of stock in the DC, review against POs and oversee the allocation process based on customer priority, organizing onward shipping as required.
  • Liaise with DCs during peak shipping periods to ensure expedient turnaround of goods and timely processing of customer invoices.
  • Provide first-class customer service for orders, shipping, returns, and cancellations; act as the main contact for Drop Ship customer service partners and respond promptly based on defined processes.
  • Undertake general administration duties as required by the department.

Requirements

  • Previous experience in a similar role.
  • Excellent Excel skills.
  • Accurate data provision and proactive decision-making.
  • Timely and accurate maintenance of merchandise systems and data, following department protocol.
  • Improved customer service with wholesale partners.
  • Effective communication and ability to manage workload to meet deadlines.
