Vocational Services Administrator
Position Summary
The Vocational Services Administrator provides administrative support for the Vocational Services Program (VSP).
Essential Duties And Responsibilities
- Follow established workflows and documentation procedures to maintain client metrics for reports for BHC/HERC grant.
- Scan, label, and organize BHC enrollment packages. Upload electronic files according to grant requirements.
- Maintain accurate and organized digital and paper program records.
- Create flyers for departmental events.
- Update client files/updates in Dynamics, as needed.
- Serve as the backup to the Volunteer Coordinator email inbox.
- Manage the HERC email inbox, escalating requests as necessary.
- Affiliate with scheduling, coordination, and follow-up with vocational program participants and partners.
- Take notes during site visits and meetings when accompanying leadership.
- Affiliate with administrative tasks.
- Maintain enrollment lists and internal tracking tools.
- Maintain documentation for in-kind donations.
- Follow written instructions and compliance checklists.
- Affiliate with program forms, flyers, design business cards for clients, and surveys.
Minimum Qualifications (Knowledge, Skills, And Abilities)
- High School Diploma or GED
- Able to maintain a high level of integrity and discretion in handling confidential information
- Proven ability to adapt to various competing demands and demonstrate the highest level of customer/client service and response
- Strong organizational skills that reflect an ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with colleagues
- Demonstrable experience supporting organizational leadership
- Strong written and verbal communication skills
- Experience with Microsoft Office (Outlook, Word, Excel, and PowerPoint) and an ability to design and edit graphic presentations and materials using cloud-based publishing software (i.e., Canva)
