Supply Chain Officer-Warehouse

Principal Responsibilities

• Support daily warehouse activities, including receipt, storage, picking, and dispatch of goods.
• Aid in offloading and loading of supplies and ensure items are handled safely and correctly.
• Ensure goods are stored in designated locations and in accordance with storage standards (including cold chain and medical storage where applicable).
• Maintain cleanliness, order, and safety within warehouse premises.
• Prepare and support the preparation of dispatches according to approved requests.

Inventory & Stock Management

• Maintain stock cards, bin cards, and electronic inventory records as required.
• Update inventory records for all stock movements (receipts, issues, transfers).
• Support regular physical stock counts and reconciliation with stock records.
• Monitor expiry dates and report near-expiry or damaged items to the Warehouse Coordinator.
• Aid in preparing stock movement and inventory reports.

Documentation & Filing

• Prepare and maintain warehouse documentation such as GRNs, waybills, dispatch notes, and stock cards.
• Ensure all warehouse files are complete, accurate, and properly filed.
• Aid in preparing warehouse files for internal and external audits.

Coordination with Logistics & Programs

• Coordinate with fleet and logistics teams to arrange dispatches and deliveries.
• Support program teams in preparing and packing items for field distribution.
• Confirm receipt of goods at field locations and collect signed delivery notes.
• Communicate any delays or discrepancies to the Warehouse Coordinator.

Asset & Equipment Support

• Support storage and tracking of project equipment and non-consumable assets.
• Aid in tagging and recording of assets stored in the warehouse.
• Report damaged, lost, or expired items immediately to the Warehouse Coordinator.
• Aid in disposal procedures for unusable or expired items as per policies.

Compliance & Safety

• Follow Project HOPE warehouse and supply chain procedures at all times.
• Adhere to safety and security measures within warehouse premises.
• Promote proper handling of medical supplies and sensitive materials.
• Report any risks related to theft, damage, or spoilage to the Warehouse Coordinator.
