Staffing Coordinator (Midland)

About the Role

This position communicates with the Division Manager, Unit Managers, and Clinical Supervisors to ensure appropriate staffing. It also involves coordinating with employees regarding schedules, benefits, and contract provisions, as well as handling paperwork with Employee Health, Human Resources, and Pay Management. Additionally, the role coordinates activities involving the morgue.

Responsibilities

  • Completes master schedules for each nursing unit one month in advance.
  • Completes daily staffing sheets and posts, and maintains the nursing roster.
  • Records employee responses when called into work.
  • Oversees timely and accurate maintenance of Kronos records and maintains position control for staffing.
  • Maintains a listing of all vacant positions and the weekly staffing grid.
  • Oversees and trains employees on MyTime Select, programs profiles, and maintains the interface of MyTime Select with attendance records.
  • Oversees the resource pool and allocates staff according to daily needs, using judgment on deploying and re-deploying staff.
  • Provides staffing coverage when employees call in ill or for other absences.
  • Works with individual managers to provide coverage for vacations, personal holidays, extended sicknesses, or leaves of absence.
  • Assists with staffing coverage during orientation for new employees or employees who are off work for various leaves.
  • Finds coverage for shift administrator PTO requests and maintains the administrative calendar.
  • Delegates assignments to afternoon, midnight, and weekend staff.
  • Maintains a list of holidays worked by each employee and records all HR time off given.
  • Maintains educational records for staff and other records for licensed staff.
  • Coordinates all paperwork with Employee Health, Human Resources, Risk Management, and Pay Management for absences, leaves, PTO/funeral/other requests, payroll corrections, and other pay management items.
  • Assists with risk management items in coordination with other leadership.
  • Coordinates activities involving the morgue, including interactions with the Lab, Medical Examiner, morticians, and handling necessary releases for expired patients.
  • Communicates with employees regarding their schedules, benefits, vacation, and union contract provisions.
  • Maintains records of organ donations.
  • Provides monthly orientation to new staff on forms and schedules.
  • Performs other duties as assigned.

Requirements

  • High School Diploma or GED required; Associate's degree in secretarial services preferred.
  • PC proficiency and strong organizational and people skills required.
  • Competency in Microsoft® Windows, with potential for further learning opportunities.
  • One year of hospital secretarial and medical experience preferred.
  • Completion of a Medical terminology course preferred.

Physical and Mental Requirements

  • Exposure to stressful situations, including public contact, trauma, grief, and death.
  • Able to wear personal protective equipment, including latex materials or appropriate substitutes.
  • Must be able to move freely about the facility with or without an assisted device.
  • Overall vision and hearing are necessary, with or without assisted devices.
  • Frequently required to sit, stand, or walk for long periods of time.
  • May require frequent postural changes such as stooping, kneeling, or crouching.
  • Some exposure to bloodborne pathogens and other potentially infectious materials; must follow bloodborne pathogen and TB testing requirements.
  • Ability to handle multiple tasks, work well with others, work independently, maintain regular and predictable attendance, and stay awake.
  • Overall dexterity is required, including handling, reaching, grasping, fingering, and feeling.
  • May require repetition of movements on a regular to frequent basis.
  • Physical demand level: Sedentary. Must be able to occasionally (0-33% of the workday) lift or carry 0-10 lbs.
