Sr. Practice Assistant
About the role
The Division of Breast Surgery at Brigham and Women’s Hospital (BWH) delivers comprehensive care for patients with a wide range of breast concerns, from benign conditions to breast cancer. In this administrative support role, you would help ensure that our busy outpatient clinics and surgical services run smoothly across multiple locations in Boston and southeastern Massachusetts.
Your responsibilities would include coordinating patient appointments, supporting providers with scheduling and documentation, managing communication between patients and clinical teams, and helping maintain an organized, efficient workflow. You would play a key part in creating a positive, seamless experience for patients as they move through their care.

- Making patient appointments and maintaining appointment records
- Assisting callers with routine inquiries and triaging matters appropriately
- Processing patient billing forms and scanning documents to patient medical record (EPIC)
- Acting as "Super User" for scheduling, registration, and billing systems
- Providing assistance and training to others in these areas
- Handling, screening, and/or taking messages related to prior authorizations, provider questions, prescription refills, and test results
Requirements
- High School Diploma or Equivalent required
- 3-5 years of office experience required
Skills
- Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
- Knowledge of office operations and standards and understanding of office procedures, including filing, copying, scanning, printing, and faxing
- Ability to use the phone system, manage non-routine phone calls, and solve routine issues as appropriate
- Effective communication skills, both written and verbal
- Ability to manage one's own time and the time of others
- Well-organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems
- Ability to proofread and edit written documents

Pay
The pay range for this position is $19.37 - $27.71 per hour, and the grade level is 4.
Schedule
This is a full-time, onsite position, with 40 scheduled weekly hours, and a day shift.
