Service-Warranty Administrator
Non-exempt position reporting to the Service Manager or Regional VP.
About the role
The Warranty Administrator closes and creates manufacturer’s warranty claims, manages claims after submittal, maintains claims in the database, prepares parts for return, and tracks parts for the manufacturer. The role also involves preparing and sending Excel reports.
High Leverage Activities
- Understand, communicate, and evaluate all vendor and International warranty guidelines, approval processes, and policies.
- Administer manufacturer’s warranty claims.
- Maintain claims in the database.
Responsibilities
- Prepare and finalize invoice business system repair orders for all branches.
- Process and finalize claims for respective manufacturers.
- Transmit claims to the manufacturer.
- Keep the warranty claims database up-to-date.
- Run manufacturer reports and correct claims.
- Prepare documentation for parts return inspections.
- Maintain business system and manufacturer systems.
- Maintain claim files.
- Prepare and input data in monthly reports.
- Provide assistance to the administrator.
- Assist with other projects as needed.
Requirements
- High school degree required; some college accounting preferred.
- Dependability and attention to detail.
- Ability to learn quickly and work independently.
- Must meet deadlines.
- Planning and organization skills; ability to plan and manage multiple projects.
- Excellent analytical and communication skills.
- Knowledge of typing and use of 10-key calculator.
- Ability to use various computer software in a Windows environment.
Physical and Environmental Conditions
This position is primarily located in an office environment. Mobility involving walking, standing, and bending is frequent. While performing the duties of this job, the employee is frequently required to sit, talk, listen, and use vision or corrected vision. The employee is occasionally required to walk; use hands and fingers to operate, handle, or feel objects, tools, or controls; and reach with hands and arms. Travel may be required.
