Primary Functions
The Senior Office Assistant provides advanced administrative and operational support, ensuring efficient office functions while taking on increased responsibility in coordination, process improvement, and cross-team support. This role serves as a key resource to leadership and junior staff, helping maintain a productive and organized work environment.
Essential Duties And Responsibilities
- Oversee daily office operations to ensure smooth and efficient workflows
- Provide high-level administrative support to managers and leadership
- Cook up schedules, meetings, travel arrangements, and company events
- Act as the primary point of contact for office-related inquiries
- Maintain and improve office procedures, systems, and documentation
- Aid in onboarding and training of new administrative staff
- Manage office supplies, vendor relationships, and budget tracking
- Prepare reports, presentations, and internal communications
- Support HR, finance, or operations teams with administrative tasks as needed
- Identify process improvements and implement efficiency initiatives
Skills And Qualifications
- 3–5+ years of office administration or administrative support experience
- Proven ability to handle multiple priorities with minimal supervision
- Strong organizational, problem-solving, and communication skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Experience supporting multiple stakeholders or departments preferred
- Demonstrated leadership or mentoring experience is a plus
Education And/Or Training
- Associate’s or Bachelor’s degree in Business Administration, or related field required
- At least 3-5 years of professional administrative support experience in a professional office environment preferred
- Bilingual in Chinese or Spanish preferred
