Office Assistant
About the role
To support company operations by maintaining office systems, supporting staff, and specializing in customer service in a way that will optimize the cooperative’s market share and savings, improve the cooperative’s efficiency, help achieve the cooperative’s mission and goals, and result in outstanding customer service. This is a seasonal position.
Responsibilities
- Answer phone and direct calls
- Provide counter sales and customer service
- Perform truck scale, grain probing, and grading procedures
- Participate with office team to organize and implement daily processes to provide products and services to customers
- Organize company transfers
- Various office duties including but not limited to entering inventory data, product inventory count sheets, and reconciling cash
Reporting
- Inform your supervisor of potential problems or new business opportunities related to your department
- Report any unsafe equipment or working conditions to your supervisor
- Report any needed repairs or special maintenance to your supervisor immediately
Safety and Compliance
- Uphold all cooperative policies
- Follow and comply with all state and federal laws and regulations
- Attend employee safety meetings as required or scheduled
Other Duties
- Perform other duties as assigned by management
- Receive favorable feedback from all department managers when assigned to assist with other duties
- Attitude consistently mirrors the company image and promotes teamwork
- Present a professional image through words, actions, and personal appearance
Qualifications
- High School Diploma or GED equivalent
- Ten-key speed and accuracy required
- Proficient with Microsoft Office and Excel software
- Excellent oral and written communication skills
- Strong customer service skills
- Ability to manage multiple projects at a time and demonstrate good attention to detail
- Detail-oriented to provide accurate and consistent work with or without direction
- Knowledge of administrative procedures and systems such as general office machines and phone systems
Physical Demands
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear. The employee is frequently required to walk and reach with hands and arms. The employee is occasionally required to stand, sit, stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
