About the role
Actively manage calendars and all necessary correspondence for assigned physicians. Perform clerical duties including drafting communications, reserving conference rooms, scheduling meetings, requesting supplies, recording and editing meeting minutes, filing, and managing mail.
Responsibilities
- Track and ensure timely completion of required paperwork for licenses, certifications, hospital privileges, etc.
- Draft, review, and send communications on behalf of assigned physicians as requested
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Answer and respond to phone calls, communicate messages and information to the executive
- Prioritize emails and respond when necessary
- Cook up travel arrangements
- Maintain various records and documents for company executive(s)
- Maintain a spreadsheet of call schedules, distribute and ensure accuracy in hospital and practice systems, which include but are not limited to AMiON and Telmediq
- Prepare travel authorizations and expense reports for the physicians
- PTO monthly report for physicians
- Pick up mail weekly and distribute
Requirements
- Intermediate to advanced proficiency in Microsoft Excel, Word, Powerpoint Office 365, Outlook, and EMR
- Typing skills of 60 wpm and 90% accuracy
- Excellent written and verbal communication skills
- Time-management skills
- Ability to pay attention to detail
- Ability to multitask
- Master’s degree preferred
- Three to five years prior experience in supporting a senior executive or team
