Responsibilities
- Maintain the executive's calendar by scheduling meetings and appointments as requested.
- Independently prioritize appointments, reschedule or decline invitations when necessary, and highlight important dates or scheduling conflicts.
- Effectively manage time based on workload demands.
- Plan, coordinate, and participate in administrative and board-level meetings, adhering to hospital bylaws, JCAHO (Joint Commission) administrative standards, board regulations, and other regulatory requirements.
- Schedule meeting rooms, arrange catering, prepare agendas, distribute materials in a timely manner, record and transcribe minutes, coordinate follow-up actions, and work directly with committee chairs.
- Provide professional and courteous reception and telephone service, determining the nature and urgency of inquiries while addressing and resolving conflicts independently whenever possible.
Qualifications
- Ability to handle a wide range of clerical and administrative tasks within the executive office environment.
- Excellent communication and organizational skills.
- Minimum of three years of experience in office and calendar management.
- Prior experience in a support function within a corporate or healthcare environment is preferred.
