About the role

The Scheduling Coordinator schedules patient appointments, follow-ups, and/or surgeries as appropriate in the assigned unit/clinic. Responsibilities include closely monitoring patients throughout various phases to ensure completion of required testing and services, validating financial clearance for services, providing stellar customer service when interfacing with patients in person and over the phone, alerting clinicians when patient testing is complete or when patients are non-compliant, coordinating collection of testing results and provider notes, and coordinating care with ancillary departments as needed.

Under the direction of the department leader, the scheduling coordinator actively coordinates an organized and efficient case flow of Radiology procedures, schedules future day-to-day activities, and monitors potential scheduling conflicts. The Scheduling Coordinator acts as a liaison with other departments and physician office staff, arranging for all necessary support services and equipment needed for a case.

Responsibilities

  • Analyze, plan, and prioritize workload anticipating conflicts.
  • Submit for approval and schedule biopsy requests.
  • Coordinate nursing staff to ensure adequate resources and avoid conflicts.
  • Schedule Anesthesia for all cases as required.
  • Schedule exams for Interventional procedures, Bronch Lab, and Gamma Knife.
  • Verify insurance and authorizations with insurance/Admitting Department.
  • Demonstrate accuracy and thoroughness in entering information into the computer system.
  • Communicate all changes with patient and case information to all involved personnel.
  • Adhere to protecting patient confidentiality.
  • Work positively with colleagues to create an effective, efficient workplace dedicated to customer service.
  • Demonstrate flexibility, self-direction, accuracy, and problem-solving skills in daily activity.
  • Confirm patient appointments and give any preparation instructions as needed.
  • Obtain authorizations and pre-authorization for services to be rendered.
  • Schedule ancillary appointments as necessary for patients.
  • Ensure patient charts are prepared prior to appointments/follow-ups and/or surgery, including x-rays and pertinent lab work.
  • Make arrangements for any special equipment as needed.
  • Review and code charge slips for patient care services and/or surgical services rendered.
  • Maintain files and records, including supporting documentation for insurance claims.
  • Maintain master appointment/surgery calendar for physician(s).
  • Oversee equipment and office supply inventory.
  • Read all incoming mail, prioritizing and distributing as appropriate.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • 3 years of experience as a Procedure Scheduler.
  • Demonstrated ability to problem-solve and provide effective resolution.
  • Excellent customer service behavior.
  • Familiarity with medical terminology.
  • Fire Life Safety Training (LA City) – if no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date (required within LA City only).

Qualifications

  • Knowledge of computerized appointment scheduling system is preferred.
  • Radiology and image-guided procedure knowledge preferred.

Pay

The hourly rate range for this position is $22.88 - $38.90.
