Responsibilities
- Administering administrative duties for the SVPBD, including managing SME programs, generating agreements via Salesforce, securing inventory, providing deadlines and specs, and coordinating with clients.
- Correlating budget and financial data, overseeing the daily operations of the SME program, and managing the internal program process.
- Developing and maintaining the department’s monthly calendar of regional events, meetings, and important dates.
- Handling travel arrangements and expense reports for the department.
- Coordinating financials, including invoices, tracking, and reconciliation, monthly budget forecasts, payment processing, check applications, managing aged receivables, and assisting in spreadsheet coordination with the general ledger.
- Processing regional department checks from tenants, researching AR discrepancies, and submitting recaps to clients.
- Aiding in the preparation and execution of SBV leases, following up on key milestones, and ensuring full agreement execution.
- Maintaining and managing departmental files and databases, and keeping abreast of all departmental projects, programs, and events.
- Maintaining a comprehensive understanding of projects handled by the SVPBD, and interacting with regional administrative assistants to coordinate workflow and shared project information.
Qualifications
- 3-5 years of administrative experience (office management preferred).
- Bachelor’s degree preferred.
- Very detail-oriented with the ability to manage multiple complex projects simultaneously.
- Quickly adaptable to department needs, with exceptional etiquette in internal and external partnerships.
- Proficiency in Word, Excel, PowerPoint; Salesforce is a plus.
- Basic bookkeeping and accounting knowledge.
- Excellent communication, organizational, and problem-solving skills.
- The ability to prioritize tasks and work independently as a self-starter.
- A strong commitment to confidentiality, particularly regarding payroll, human resources, and company financial information.
