About the role
The Regional Assistant supports the business leadership team in various administrative tasks, including event planning, project coordination, and maintaining calendars and supplies.
Responsibilities
- Acts as a key internal and external administrative contact for the region.
- Serves as a primary point of contact and liaison with Corporate on a range of specified administrative issues as required.
- Works under general supervision to address the daily needs of the business leadership team.
- Coordinates event planning initiatives for the region, assisting with the organization of corporate gatherings, meetings, and regional events from start to finish.
- Supports the business leadership team in the execution of special projects, tracking issues, and ensuring deadlines are met.
- Plans meetings, develops agendas, and creates meeting content, slide decks, and presentation materials for regional leadership.
- Makes appointments, drafts, prepares, and distributes correspondence that may include internal communications, letters, contracts, and other related highly sensitive and confidential materials.
- Covers travel logistics, anticipating and securing travel arrangements and providing administrative expense management support (such as processing expense reports) as needed.
- Maintains and organizes complex professional calendars to include travel, appointments, meetings, etc.
- Aids in daily mailroom operations and processes, ensuring efficient distribution and coordination of mailroom functions.
- Tracks and manages business supply inventory for the regional office, placing orders as needed.
- Performs other administrative duties and projects as assigned.
Requirements
- Demonstrated experience assisting with event planning, creating presentation materials, and coordinating projects for leadership teams.
- Knowledge, skills, and abilities including customer-focused behavior, interpersonal skills, strong organizational and problem-solving skills, attention to detail, excellent communication and interpersonal skills, ability to adjust communication method based on customer situation, clear and effective speaking manner, positive approach, willingness to learn, and ability to work in a team environment.
- Ability to work effectively under pressure to meet deadlines.
- Proficient working knowledge of Google suite applications and Microsoft Office (Word, Excel, PowerPoint).
Qualifications
- High School Diploma or GED.
- Required length and type of experience: Demonstrated experience assisting with event planning, creating presentation materials, and coordinating projects for leadership teams.
- Preferred qualifications: Associate’s degree or higher preferred, prior administrative and/or office support experience desired, previous experience working with highly confidential and sensitive information preferred.
