Receptionist - Medical

Under the direct supervision of the Health Center Manager and the general supervision of the Regional Operations Manager, the Receptionist will follow the protocols of the Community Health Centers of the Central Coast, Inc. (CHCCC) to provide professional, courteous service to patients. Responsibilities include managing provider schedules, assisting with patient registration, processing payments, and ensuring the highest quality of care.

Responsibilities

  • Greet patients in a professional and courteous manner.
  • Manage provider schedules to ensure access and efficiency.
  • Assist patients through the registration process and collect payments for services.
  • Answer telephones promptly with a courteous and professional demeanor.
  • Handle high volumes of patients and internal/external customers, adapting to frequent changes or unexpected events.
  • Check patients in and out using the practice management system and verify patient information.
  • Perform cashiering duties, including collecting co-payments, payments, and outstanding balances.
  • Review and manage patient schedules to address missed opportunities, scheduling errors, registration updates, insurance eligibility, and co-payments.
  • Schedule patients according to protocol and refer triage calls to nursing staff.
  • Confirm appointments for primary care and ancillary services within 24 hours of the appointment.
  • Assist with pre-visit planning and help patients complete appropriate forms, reviewing for accuracy and completeness.
  • Accurately enter and update demographic and payer data in the practice management system.
  • Verify coverage and payer eligibility, including programs, private insurances, Medi-Cal, and Sliding Fee.
  • Inform patients about all available services and programs.
  • Observe patients in distress and promptly report concerns to nursing staff.
  • Maintain knowledge of the practice management system, payers, and Standard Work.
  • Keep inventory of paperwork and ensure the most up-to-date forms are used.
  • Issue visitor passes when required.
  • Perform a variety of clerical duties.
  • Adhere to and observe all safety policies and procedures, including infection control rules and regulations.
  • Provide care appropriate to the age of patients served (infants, pediatrics, adolescents, adults, or geriatrics).
  • Demonstrate knowledge of domestic violence, child, and dependent abuse protocols.
  • Exhibit cultural sensitivity and competence with patients.
  • Maintain and adhere to HIPAA, employee confidentiality, and privileged communications (patient, employee, and corporation).

Requirements

  • High school diploma or GED equivalent required.
  • Minimum one year of customer service experience, preferably in a medical setting.
  • Ability to remain professional and courteous with customers and patients.
  • Excellent verbal and written communication skills.
  • Knowledge of medical terminology is desirable.
  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of patients or employees.
  • Bilingual (ability to read, speak, and write in English and another language) is desirable.
  • Basic mathematical skills, including addition, subtraction, multiplication, division, and computation of rates, ratios, and percentages.
  • Ability to apply sound judgment in understanding and carrying out instructions in written or oral form.
  • Ability to make appropriate job decisions following standard office policies and past precedents.
  • Experience with word processing, spreadsheets, email, and keyboarding required.
  • Microsoft Office skills preferred.
  • Working knowledge of Electronic Health Records (EHR) preferred.
  • Certificate in Medical Front Office procedures desired.
  • Possession of a current, valid, unrestricted California Driver’s License (Class C) required.
  • CPR (BLS-C) card preferred.
  • Must pass a criminal history background check upon hire.
  • Annual health examination, including annual Tuberculosis skin test clearance or chest x-ray.
  • Proof of immunity to MMR, Varicella, and Hepatitis B.
  • Proof of Tdap vaccine.
  • During the current flu season, must provide proof of influenza vaccine or a signed declination form (if declined, a flu mask is mandatory).

Physical Demands

  • Regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.
  • Frequently required to sit, stand, and walk.
  • Must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment

  • Fast-paced environment with moderate noise levels.
  • Flexible work schedule that may include evenings, weekends, and travel as needed.

Pay

$22.00 - $23.15 per hour
