Essential Duties And Responsibilities
- Live Our Values!
- Professionally answers telephones and directs the caller to the appropriate staff
- Transfers a caller to a staff member’s voice mailbox when the associate is unavailable
- Provides callers with information such as company address, location, fax numbers, website, and other related information
- Takes and retrieves messages for various personnel
- Greet guests in a professional, friendly, hospitable manner
- Receives, sorts, and forwards incoming mail
- Sigs for and sorts for distribution UPS and FedEx packages
- Open and close reception area
- Maintain email boxes and distribute emails accordingly
- Provide general administrative and clerical support as requested
- Absorb and understand Total Fire Protection’s strategy, business, and growth initiatives
- Assist users sending faxes and retrieve and properly disseminate incoming faxes.
- General office administration
Requirements
- Polished and professional appearance
- Able to work assigned hours, arriving on time and remaining on the job through the shift
- Shift can be 8am to 4pm or 10 am to 6pm
- Able to cover 8am to 6pm when necessary
- Proven front office experience handling high incoming call volume
- Pleasant and positive telephone manner
- Represent Total Fire Protection professionally at all times
- Calm under pressure
- Discretion to maintain confidential information
- Capability to function independently in a team environment with little supervision
- Proficiency in Microsoft Office including Outlook, Word, and Excel
- Bilingual Spanish speaker a plus
