Radiology Support Specialist

About the role

This position assists the department of radiology with all matters related to the coordination and delivery of radiologic imaging interpretation. The role serves as a liaison for the Department of Radiology, practicing service excellence in all interactions.

Responsibilities

  • Provides for optimal radiology reading room workflow by working closely with physicians, administrative and clinical teams to anticipate and support the needs based on departmental procedure volumes and call requests.
  • Acts as the main liaison for radiology providing superior levels of service at all times for both internal and external customers.
  • Ensures by direct or indirect involvement that all verbal communications request to and from the reading room are proxied and routed appropriately in an accurate, efficient and timely manner.
  • Ensures all phones are answered and calls routed as appropriate during all hours of operation.
  • Tracks and monitors call volumes and prepares reporting as required.
  • Responds to requests from Radiologists when there is a need to provide or obtain information from a referring physician.
  • Tracks and reports all requests for quality validation.
  • Maintains reading worklists for timely completion of interpretation, providing regular reporting on turn-around times.
  • Ensures studies are finalized as per departmental standards of practice.
  • Handles chart control tasks for Radiologist including EPIC in-baskets, EPIC chart deficiencies, scanning documents into EPIC and locating patient medical record information in EPIC.
  • Composes correspondence in response to routine inquiries frequently without instruction or review.
  • Makes sure exam protocol work lists are alerted to radiologists of cases awaiting attention.
  • Tracks and investigates external studies as requested.
  • Enters orders as required to facilitate the importing of external studies for comparison and/or interpretation.
  • Prepares images for export as requested as per HIM policy, functioning as an extension of HIM for any radiology requests.
  • Ensures workspace is clean and office supplies are available and organized performing regular inventory of workstation environment.
  • Escalates all IT issues and submits tickets as needed.
  • Maintains physician schedule for coverage.
  • Affords assistance with daily VA operations.

Requirements

  • High School diploma or equivalent AND Two (2) years additional training or related experience OR;
  • High School diploma or equivalent AND One (1) year of radiology administrative or clinical support OR;
  • High School diploma or equivalent AND Currently enrolled in an accredited Radiology program or other accredited allied health program.

Qualifications

  • Knowledge of office routines and functions sufficient to refer visitors and telephone calls and to route correspondence by name and functional area.
  • Knowledge of medical records documentation requirements.
  • Knowledge of institutional and unit policies, processes and forms.
  • Strong computer skills, communication skills, and organizational skills.
  • Ability to maintain patient confidentiality.
  • Skill in utilizing computer software and online systems.
  • Skill in operating office equipment.
  • Ability to make decisions requiring interpretation and judgment.
  • Ability to follow oral and written instructions and interpret institutional and other policies accurately.
  • Ability to gather, evaluate, and display data in appropriate format and keep accurate records.
  • Ability to organize and prioritize multiple tasks.
  • Basic computer skills and familiarity with Microsoft Office.
