Job Summary

The Recruitment Coordinator is responsible for coordinating the activities of several departments involved in the recruiting, onboarding, and off-boarding of Memorial Physicians and Advance Practice Providers. This requires close working relationships and coordination of activities with MMA, HR, IT, Employee Health, Medical Staff Office, Marketing and Business Development, Facilities, Administration, and other departments as necessary.

About the Role

This position follows provider candidates through the hiring and onboarding process to ensure all steps are completed in a timely, efficient, and customer-focused manner. Requires flexibility in work schedule to accommodate needs of potential candidates.

Primary Job Responsibilities

  • Utilizes the Medical Staff Development plan to develop a recruitment strategy to meet market and open position needs.
  • Develops strong relationships and partners with the hiring manager to ensure job requirements and expectations are clearly understood and candidates are assessed against appropriate criteria.
  • Maintains relationships with all departments involved in practitioner onboarding, including recruiting, human resources, medical staff services, physician relations, marketing, employee health, and IT.
  • Acts as a liaison for all departments to facilitate and support the recruitment, interviewing, and onboarding process.
  • Demonstrates knowledge of sales, interviewing techniques, organizational structure, personnel policy and procedure, and federal and state laws regarding employment practices.
  • Meets regularly with Memorial Healthcare leadership to identify open positions.
  • Manages the full cycle recruiting process from requisition setup, drafting job ads and posting through sourcing, developing, and negotiating offers, immigration needs, and onboarding.
  • Generates a candidate pool through sourcing activities such as cold calling, digital media, referrals, database sources, internet sites, mailings, college recruitment, community network events, etc., to ensure a continual pipeline of high-quality, excellent candidates.
  • Ensures timely communication with candidates, hiring managers, and vendors on the recruiting process and pending needs.
  • Connects with local residency programs to socialize provider opportunities at Memorial Healthcare.
  • Responsible for public speaking at both internal and external events regarding the organization and its service lines.
  • Coordinates organizational tours for potential candidates and appropriate information related to Memorial.
  • Coordinates appropriate activities, tours, and information for the candidate's family members to show the advantages of living in the Memorial Healthcare service area.
  • Affords support in the on-boarding process for selected providers to ensure a smooth transition through the credentialing process, helps providers get settled into their office space and family living space.
  • Manages external vendor recruitment contracts and provides assistance with securing Locums as requested.
  • Participates in the development of the annual recruiting budget.
  • Stays current on recruitment trends and continuously researches new and innovative recruitment methods.
  • Demonstrates knowledge of and supports hospital mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality statements, corporate compliance plan, customer service standards, and the code of ethical behavior.

JOB SPECIFICATIONS

  • Education: Bachelor’s degree in related field, marketing, business, public relations, or health-related field.
  • Experience: Minimum of two years previous recruitment experience preferred; proven experience sourcing passive candidates preferred; minimum of two years healthcare experience preferred or other similar customer service-driven industry.
  • Essential Physical Abilities/Motor Skills: Requires flexibility in hours worked. Will require ability to work evenings and some weekend hours based on convenience of potential candidates. Able to travel independently throughout all Memorial Healthcare facilities. Small motor skills required for operating modern computer, office, and telephone equipment as utilized by Memorial Healthcare (MHC).
  • Essential Technical Abilities: Proficiency using modern office, computer, and telephone equipment as used by Memorial Healthcare.
  • Essential Mental Abilities: Ability to adapt and maintain focus in fast-paced, quickly changing or stressful situations. Ability to read and interpret a variety of documents including, but not limited to policies, operating instructions, white papers, regulations, rules, and laws.
  • Essential Sensory Requirements: Able to see for the purpose of reading information received in formats including but not limited to paper, computer, reports, bulletins, updates, manuals. Able to hear for work-related purposes.
  • Interpersonal Skills: Ability to interact with co-workers, hospital staff, administration, patients, physicians, the public, and all internal and external customers in a professional and effective, courteous, and tactful manner, at all times, physically, verbally, and in all written and electronic communication. Required to remain calm when adversity is encountered. Open, honest, and tactful communication skills. Ability to work as a team member in all activities. Positive, cooperative, and motivated attitude. Ability to clearly communicate and articulate, using sales techniques in the recruitment process.
