We are looking for a detail-oriented Part-Time Property Management Assistant to support daily property and office operations. This contract opportunity is ideal for someone who thrives in a busy environment, communicates confidently in English, Spanish, and Portuguese, and can manage competing priorities with limited oversight.
Responsibilities
- Manage day-to-day administrative activities for property operations, ensuring records, communications, and tasks are handled accurately and on schedule.
- Support lease administration by maintaining files, tracking important dates, and assisting with documentation related to renewals, move-ins, and tenant occupancy.
- Coordinate rent processing activities, including payment posting, account follow-up, and resolution of routine billing questions.
- Serve as a point of contact for tenants, owners, and vendors by responding to inquiries, relaying updates, and helping resolve property-related issues.
- Organize maintenance requests and work orders by assigning tasks, monitoring progress, and confirming completion with vendors and residents.
- Maintain digital and physical property documentation, ensuring lease records, correspondence, and operational files remain current and accessible.
- Assist with vendor administration by collecting paperwork, tracking service activity, and supporting repair or project coordination as needed.
- Prepare office and property-related reports, correspondence, and supporting documents using AppFolio and standard business software.
- Provide administrative support for legal, contract, or real estate documentation when required, while preserving accuracy and confidentiality.
Requirements
- Fluency in English, Spanish, and Portuguese, with strong written and verbal communication skills in all three languages.
- At least 3+ years of hands-on experience using AppFolio Property Management Software in a property operations setting.
- Minimum of 3 years of experience in property management, office administration, legal support, or a closely related field.
- Working knowledge of lease administration, tenant and owner account support, rent collection processes, vendor coordination, and document management.
- Experience handling tenant communication, maintenance scheduling, and property file organization in a fast-paced environment.
- Proficiency with Microsoft Outlook, Word, Excel, Adobe software, and digital filing systems.
- Strong organizational skills, close attention to detail, and the ability to work independently while managing multiple priorities.
- Background in residential or commercial property management, real estate support, legal documentation, or transaction coordination is highly valued.
