About the role

This role focuses on coordinating manufacturing projects from planning through execution, with a strong emphasis on financial tracking, material planning, and cross-functional collaboration.

Responsibilities

  • Access data in SAP to pull out detailed project information and use these details to write clear and accurate project reports.
  • Review project spend information, track and place purchase orders, and prepare regular reports in Excel to monitor budgets and financial performance.
  • Establish functional timelines and completion dates in support of the lead Project Manager, ensuring that key milestones are clearly defined and achievable.
  • Create and maintain project timelines, schedules, and plans, engaging with multiple cross-functional partners to keep activities aligned and on track.
  • Review, organize, and maintain all documentation required for successful project execution, ensuring information is complete, accurate, and accessible.
  • Work closely with cross-functional partners and document owners to obtain updates ahead of schedule and keep project records current.
  • Track Bill of Materials (BOM) status, material ordering, material versions, and supporting systems that enable effective execution of project objectives.
  • Cook up Quality and Regulatory requirements for each project and establish the tasks and timelines needed to meet these requirements.
  • Attend production meetings to request equipment downtime for project execution and track performance against target timeframes.
  • Schedule and coordinate meetings with stakeholders and project team members, ensuring effective communication and follow-up on action items.
  • Engage with stakeholders to manage expectations, share updates, and support decision-making through clear reporting and analysis.
  • Apply project lingo and processes appropriately within the manufacturing and production environment to support consistent project delivery.

Requirements

  • At least 2 years of experience managing or coordinating projects with evidence of successful delivery.
  • Hands-on experience creating project timelines and schedules and engaging with multiple cross-functional partners.
  • Strong communication skills, with the ability to present project status and financial information clearly to diverse stakeholders.
  • High proficiency in Microsoft Excel, including the ability to create, update, and interpret reports and spreadsheets.
  • Experience using SAP to access project and financial data and support project reporting and tracking.
  • Practical understanding of manufacturing processes and production environments.
  • Experience with project coordination and project management activities, including planning, tracking, and reporting.
  • Able to schedule meetings, manage calendars, and coordinate activities across teams.
  • Experience with risk management, including identifying, tracking, and reporting project risks.
  • Proficiency with Microsoft Office tools for documentation, communication, and reporting.
  • Experience with financial analysis, budgeting, and tracking project spend.
  • Experience in stakeholder management, including maintaining relationships and managing expectations.
  • Experience in resource planning and project planning within a manufacturing or production context.
  • A self-starter mindset with the ability to work proactively and independently while supporting a senior Project Manager.

Qualifications

  • Understanding of raw material flows and Bill of Materials (BOM) in a manufacturing environment is a plus.
  • Experience with material planning, including ordering and tracking material versions, is beneficial.
  • Familiarity with project lingo and terminology used in complex manufacturing projects.
  • Background in reporting, purchase order tracking, and finance-related project activities.
  • Exposure to budgeting processes and financial performance tracking for projects.
  • Experience attending and contributing to production meetings in a manufacturing facility.
  • Ability to review project lessons learned and translate them into practical improvement plans.
