This is a remote role based in the United States providing project coordination and program-office support within a large-scale federal infrastructure and modernization environment.

About the role

You will help drive staffing, hiring, onboarding, workforce mobilization, reporting, and special projects from planning through completion. The position offers broad exposure to cross-functional teams, including project leadership, talent acquisition, human resources, finance, IT, security, and government stakeholders. You will bring structure to complex workflows, monitor milestones and risks, and ensure critical activities stay on track. Your analytical and organizational skills will help leadership make informed decisions through accurate reporting, dashboards, and management insights. This is an opportunity to contribute to mission-critical programs while developing deeper expertise in project and program management. The role is fully remote, with occasional travel required for meetings, hiring activities, and other business needs.

Responsibilities

  • Provide project coordination and PMO support across staffing, hiring, onboarding, workforce mobilization, management reporting, process improvement, and other program initiatives.
  • Develop and maintain project plans, schedules, milestones, action logs, responsibility assignments, dependencies, risk and issue registers, and status reports.
  • Coordinate high-volume recruitment activities from candidate identification and résumé review through interviews, selection, offers, pre-employment requirements, onboarding, and program integration.
  • Organize interviews across multiple candidates, interviewers, positions, schedules, and time zones while ensuring decisions and feedback are accurately captured and communicated.
  • Maintain staffing plans, requisition logs, candidate trackers, interview records, onboarding trackers, personnel reports, and other program-management tools.
  • Coordinate onboarding readiness, including start dates, documentation, background and suitability processing, equipment, system access, training, orientation, and integration.
  • Monitor plans, schedules, and milestones; identify delays, gaps, dependencies, and emerging risks; and coordinate corrective actions with responsible stakeholders.
  • Take ownership of assigned projects and coordination challenges, determine required actions, engage stakeholders, and drive work through completion.
  • Support workforce-planning initiatives, hiring campaigns, candidate outreach, change-management activities, and other projects designed to improve hiring throughput and program growth.
  • Analyze staffing, hiring, onboarding, scheduling, and program data to identify trends, bottlenecks, resource constraints, aging actions, and improvement opportunities.
  • Build and maintain Excel-based trackers, dashboards, charts, reports, and analytical tools that provide leadership with timely and accurate management information.
  • Support resource planning, labor forecasting, budget tracking, schedule monitoring, and performance reporting for assigned projects and PMO activities.
  • Prepare recurring and ad hoc reports, presentations, decision materials, and executive-level updates for program, business, and government stakeholders.
  • Plan and support staffing reviews, project meetings, working sessions, and management reviews, including agendas, materials, meeting notes, decisions, action items, and follow-up.
  • Coordinate across multiple organizations, reconcile incomplete or conflicting information, and maintain alignment around priorities, responsibilities, schedules, and status.
  • Identify process gaps and implement practical improvements to workflows, templates, procedures, reporting tools, dashboards, and communication routines.
  • Manage multiple concurrent assignments with varying stakeholders, deadlines, priorities, and levels of complexity.

Requirements

  • Bachelor’s degree in business, project management, human resources, communications, organizational management, engineering, construction management, or a related discipline, or equivalent relevant experience.
  • At least 3 years of experience in project coordination, program support, business operations, staffing operations, recruiting coordination, workforce planning, onboarding, or a similar environment.
  • Working knowledge of project-management fundamentals, including scope, schedules, milestones, risks, issues, dependencies, resources, action tracking, and status reporting.
  • Demonstrated ability to coordinate complex activities involving multiple stakeholders, deliverables, priorities, and deadlines.
  • Strong initiative, ownership, judgment, and problem-solving skills, with the ability to determine next steps and drive assignments to completion.
  • Advanced proficiency with Microsoft Excel, including formulas, tables, filters, conditional formatting, pivot tables, charts, and large-data-set analysis.
  • Exceptional attention to detail and the ability to maintain accurate information across multiple systems, trackers, reports, and workstreams.
  • Strong analytical skills, including the ability to investigate discrepancies, evaluate incomplete or conflicting information, identify impacts, and recommend practical solutions.
  • Excellent written and verbal communication skills, with the ability to interact effectively with candidates, technical teams, functional organizations, executives, customers, and other stakeholders.
  • Strong organizational and time-management capabilities, including the ability to manage high volumes of concurrent activities and adapt to changing priorities.
  • Experience developing project plans, schedules, dashboards, status reports, presentations, meeting materials, action logs, and management briefings.
  • Proficiency with Microsoft PowerPoint, Word, Outlook, Teams, and other standard collaboration tools.
  • Ability to work independently with limited direction while appropriately escalating significant risks, decisions, or delays.
  • Ability to handle candidate, personnel, customer, and business information with professionalism, confidentiality, and discretion.
  • Ability to work effectively in a fully remote environment with geographically dispersed teams.
  • Willingness to travel occasionally for program meetings, hiring activities, customer coordination, or other business needs.
  • Ability to meet applicable customer security requirements and successfully complete a federal background investigation if required.

Preferred Qualifications

  • PMO or program-office support, high-volume hiring, workforce mobilization, large-scale onboarding, or cross-functional business operations experience.
  • Experience working with Talent Acquisition, Human Resources, hiring managers, project managers, and senior leadership.
  • Experience in federal contracting, aviation, transportation, defense, infrastructure, technology implementation, or another mission-critical environment.
  • Familiarity with tools such as Microsoft Project, Power BI, SharePoint, Power Automate, Smartsheet, applicant tracking systems, workforce-management platforms, or HR information systems.
  • Experience developing staffing, workforce, financial, operational, schedule, or project-performance reports for senior or government stakeholders.
  • CAPM, Lean Six Sigma, or another project-management/process-improvement certification.
