About the Role

We are looking for a senior Project Coordinator III to serve as the structural backbone for our high-growth field operations within our New York office. Working directly with our Assistant Project Managers (APMs) and Project Managers (PMs), you will manage project tracking, purchasing, job costing, and subcontractor coordination. This is a senior-level coordination role for a self-starter who takes personal accountability for data accuracy and ensures absolutely nothing falls through the cracks.

Responsibilities

  • Track critical project milestones, manage local permitting/licensing processes, and lead vendor coordination and subcontractor onboarding.
  • Own all project-related purchasing and job costing, ensuring the absolute accuracy of project data.
  • Independently develop estimates, proposals, and scopes of work for smaller assignments (surveys, maintenance, inspections) and assist PMs with major project rollouts.
  • Keep field and PM teams running efficiently by assembling closeout packages, survey reports, and project documentation.
  • Represent the company at local trade shows and industry events to support corporate visibility.

Requirements

  • 2+ years of experience in a related industry.
  • Experience in working with construction projects and field teams.
  • Experience in technical field service.
  • Strong written and verbal communication skills.
  • Desire to be a working supervisor.
  • Within commuting distance of the NY office/warehouse.
  • Comfortable with the MS Office Suite (Outlook, Teams, Word).
  • Excel at software and project tracking tools, and enjoy keeping fast-moving data visible and ordered.
  • Ability to seamlessly manage client expectations, mentor junior team members, and escalate field or safety concerns to leadership quickly.
  • Operate with total integrity and high personal standards for accuracy.
  • Enjoy collaboration and pop-up situations that diverge from the everyday routine (e.g., planning a Christmas Party or temporarily picking up extra work for a colleague).
  • High school diploma (or equivalent), strong computer skills, a valid driver’s license with a clean record, and basic mechanical aptitude.
  • Ability to lift 50+ lbs on occasion to assist with material staging or shop/field support when needed.

Applicants must be currently authorized to work in the United States on a full-time basis. We are unable to offer visa sponsorship for this role or take over existing sponsorship. Final candidates must successfully pass a comprehensive background screening and Motor Vehicle Record (MVR) review.
