Responsibilities
- Assist Construction Managers and Project Managers with coordination and documentation
- Order equipment for fire alarm, suppression, and sprinkler projects
- Handle day-to-day general office duties as assigned
- Upload and maintain projects and contracts via Job Design/BBI
- Monitor status of small projects (fire alarm, suppression, sprinkler)
- Communicate with customers and sales reps regarding material and labor requirements
- Ensure required engineering is performed to meet customer expectations
- Coordinate with TIS supervisor and/or construction manager for customer labor requirements
- Order equipment and ensure timely delivery to customers
- Report project status to department managers
- Process change orders, release equipment, and handle filing, Certificate of Insurance, and warranty letters
- Compile billing backups such as Certified Payroll and work tickets
- Handle customer/contract disputes as needed
- Coordinate delivery of equipment to job sites
- Coordinate delivery of close-out documents
- Create purchase orders for subcontractors
- Procure and verify project schedules
- Attend work-in-progress meetings
- Track project RFIs, change orders, and other pertinent documentation
- Coordinate and follow up with the sales team regarding project bookings and releasing jobs from COE/credit holds
- Assist with Accounts Receivable (AR)
- Act as a facilitator and point-person for information sharing between OTC, District, and select customers
- Support dispute resolution when requested by AR collectors or the dispute team
- Contact customers for DMS or simple inquiries as needed
Requirements
- Proficient in Microsoft Windows, Word, Excel, and PowerPoint
- Knowledge of ACE, OASys, and Job Cost Systems
- Valid driver's license with a good driving record
- High school diploma or equivalent
- Ability to multi-task and prioritize assignments with strong adherence to deadlines
- Excellent verbal and written communication skills
- Organized, detail-oriented, and self-motivated
- Must pass a pre-employment background check and drug screen
- Positive attitude, punctuality, and accountability
Preferred Qualifications
- Associate degree
- 3 to 5 years of related experience
- Experience in a high-volume, customer service–oriented position
- Electrical/construction industry experience
Pay
Hourly range: $26–$39 (determined by education, experience, knowledge, skills, abilities, internal equity, location, and market alignment).
